What Is a Wedding Estimate?
A wedding estimate shows the services your business expects to provide and what they are likely to cost before the couple confirms the final package.
It can cover planning, coordination, venue services, decor, rentals or another wedding service your business provides. The likely price may change when the guest count, venue, quantities, schedule or staffing changes.
How to Create a Wedding Estimate
Start with the wedding service you expect to provide. Keep the event details together so the couple can check the package against the plans for their day.
- Your Business: Add your business name and the contact details the couple should use.
- Your Logo: Add the logo you use on your booking documents.
- The Couple: Enter the client details. Identify the wedding date and venue in the description or Terms and Conditions.
- Number and Dates: Check the estimate number and issue date. Set a response deadline or valid-until date when needed.
- Services and Quantities: Add the package, rental units and staff-hours with their rates and applicable tax. List charged travel as its own item.
- Review and Send: Add the schedule and assumptions in Terms and Conditions. Check the estimated total, then email the estimate or download a PDF.
How to Fill In Wedding Estimate Line Items
Keep the main package on one line and explain what its fee includes. Give separately priced services or rentals their own lines so the couple can see how each choice affects the likely total.
This fictional example covers coordination and lantern rentals for an 80-guest wedding at one venue. Prices are in US dollars. Two assistants working three hours each equal six staff-hours. All three charges use an illustrative 8% tax rate; apply the tax treatment that fits your business and location.

What to Include in Wedding Estimate Terms
Use the Terms and Conditions field to explain the assumptions behind the price. The guest count, venue access and coverage hours help the couple understand when a change would need a revised estimate.
The sample below belongs to the coordination example above. Adapt it to your own booking and include only terms your business uses. Add any payment schedule or booking requirement you have agreed with the couple.
Example: Terms and Conditions
- Estimate valid for 14 days from the issue date, based on 80 guests at one venue.
- Package includes one planning call, a rehearsal of up to one hour and wedding-day coordination from noon to 8 p.m.
- Two assistants provide three hours each. Setup and collection of the 10 lanterns take place within the agreed venue access times.
- Catering, photography and other independently booked vendors are paid directly by the couple and are excluded.
- Changes to the venue, guest count, service hours or rentals will be estimated again for approval before we commit to the additional work.
Price the Package for the Couple to Review

Keep Your Services Separate From the Wedding Budget
Your estimate covers the work your business expects to provide. It does not need to include every wedding expense. Name outside services the couple will book and pay for directly so they can see what remains outside your fee.
For your own charges, keep the same guest count, venue and schedule throughout the estimate. State the setup, service and teardown times and the staffing allowed for each part. A package may include planning and coordination, while rentals, travel, overtime or extra staffing have their own prices. Include a vendor cost only when your business is providing or passing through that charge.
Describe unchosen extras in Terms and Conditions or send a separate estimate for an alternative package. Add an option to the priced item table once it belongs in the package being estimated, so the likely total does not include services the couple has not chosen.
The Guest Count, Venue, or Package Changed?
Update the estimate when the couple changes the package, quantities, guest count, venue, service hours or staffing needs. Show the revised services and likely total instead of leaving the change in an email thread.
Send the updated estimate before you reserve added rentals, schedule more staff or take on work outside the original package.
