How to Create a Purchase Order in Excel
Work from the top of the workbook to the bottom, then check the formulas and print area before the purchase order leaves your business.
- Download and Save a Working Copy: Open the XLSX template and save a separate file for this purchase order.
- Add Buyer and Vendor Details: Enter your business details, the vendor, PO number, order date, and delivery information.
- List the Items or Services: Use one row for each product, material, service, rental, or other purchase.
- Enter Quantities and Prices: Add the quantity and unit price. Confirm that each line-total formula includes the correct cells.
- Check Discounts, Tax, and Shipping: Enter only the charges that apply and confirm the subtotal and final-total formulas.
- Set the Print Area: Use Print Preview to check page orientation, margins, repeated headings, and whether totals appear on the final page.
- Save or Export the PO: Save the workbook for your records and export a PDF for the vendor.
Protect the Formulas Before the Order Goes Out
Test With Simple Numbers
Enter a quantity of 2 and a unit price of 10. The line total should be 20. Small tests reveal broken formulas quickly.
Copy Formulas, Not Just Formatting
When adding rows, make sure the formulas extend into the new cells. A matching border does not mean the math came with it.
Keep Input and Formula Cells Distinct
Avoid typing over subtotal or total formulas. Protect formula cells when several people use the workbook.
Review the Print Area
Excel can hide columns or split one order across awkward pages. Check the PDF before attaching it to an email.
