How to Create a Painting Estimate
Build the estimate around the areas being painted. Show the surface condition and preparation first, then add the paint system, labor and likely total.
- Your Business: Add your painting business name and contact details.
- Your Logo: Use the logo from your other business documents.
- The Customer: Enter the customer and contact details. Identify the job address in the scope.
- Number and Dates: Check the estimate number and issue date. Set a valid-until date when needed.

How to Fill In Painting Estimate Line Items
Use the unit that explains each part of the job: square feet for walls, linear feet for trim, and a count for doors. Keep preparation or materials within the surface rate when they are included; give separately priced work its own line.
This fictional interior job is priced in US dollars. The wall, trim and door rates include paint and the preparation described; setup and cleanup are separate charges. Replace the measurements and rates with your own. The illustrative 8% tax applies to all five lines; use the tax treatment required for your job.

What to Include in Painting Estimate Terms
Use Terms and Conditions to explain the assumptions behind the likely price, how long the estimate is valid, and how you will agree on changes. Include only terms your business actually uses. The sample below belongs to the interior job above; adapt the access and weather assumptions for exterior work.
A coat count alone does not explain the work. Note whether the price assumes sound surfaces, spot repairs, full priming, color changes, specialty finishes or customer-supplied paint. When a selection is not final, label it as an allowance or assumption and explain what the price includes.
Example: Terms and Conditions
- Estimate valid for 30 days from the issue date. Start date will be agreed after approval.
- Includes the listed interior walls, trim and doors, with paint supplied by the painter. Ceiling painting and major surface repairs are excluded.
- Products, colors and finishes will be confirmed before work starts. The price assumes the surface condition recorded during the site visit.
- Any added surfaces, extra preparation or product changes will be priced and approved before the additional work.
