What Is a Paving Estimate?
A paving estimate shows the area to be paved, the planned pavement build-up and the likely price before work starts. It may cover removal, grading, base preparation, asphalt or concrete placement, compaction and cleanup.
The customer should be able to see how area, thickness, materials, equipment and site access affect the likely total. Keep drainage and edge work visible when they are part of the scope.
How to Create a Paving Estimate
Use your site measurements to describe the planned pavement and price the work. Enter your business and customer details, then add the quantities, rates and assumptions below.
- Your Business: Add your paving business name and contact details.
- Your Logo: Add the logo you use on your business documents.
- Customer and Site: Enter the customer details and identify the paving site.
- Number and Dates: Check the estimate number, issue date and valid-until date.
- Paving Items: List removal, base, paving and edge work with quantities and prices.
- Estimated Total: Check the line amounts and any applicable tax. Docelf calculates the total.
- Terms and Sending: Use Terms and Conditions for site assumptions. Review the estimate, then email it or download a PDF.
How to Fill In Paving Estimate Line Items
Match each quantity to the way you charge. Removal may use square feet, while base and asphalt use tons. State whether a rate includes materials, equipment and labor so the customer can compare the work without counting a cost twice.
This fictional 3,200 sq ft repaving job uses separate removal, base and asphalt prices in US dollars. The base and asphalt rates include placement and compaction. Replace the quantities and prices with your own measured scope and rates.
| QTY | Description | Unit Price | Amount |
|---|---|---|---|
| 1 | Mobilization and site setup | $850.00 | $850.00 |
| 3,200 | Remove and haul existing pavement — sq ft | $1.65 | $5,280.00 |
| 45 | Aggregate base placement and compaction — tons | $52.00 | $2,340.00 |
| 52 | Asphalt placement and compaction — tons | $128.00 | $6,656.00 |
| 1 | Edge tie-ins, cleanup and final site review | $625.00 | $625.00 |
| Subtotal | $15,751.00 | |
| Sales Tax (8% illustrative) | $1,260.08 | |
| Estimated Total | $17,011.08 |
The 8% tax on the full subtotal is an example only. Use the tax rate and taxable items that apply to your job.
What to Include in Paving Estimate Terms
Use Terms and Conditions to explain what the price assumes about the existing pavement, base and site access. Name excluded work and explain how you will agree a revised price if the conditions change.
The sample below goes with the repaving example. Adapt it to your job, including the agreed removal depth and layer thicknesses; use only exclusions, timing and payment policies your business actually follows.
Example: Terms and Conditions
- Covers removal and repaving of the 3,200 sq ft area identified during the site visit. Estimated base and asphalt quantities are 45 tons and 52 tons.
- Drainage redesign, new curbs and repairs below the agreed removal depth are excluded.
- Changes to the area, base condition or drainage work will be priced for customer approval before the extra work begins.
- Estimate valid for 30 days. Work dates depend on suitable weather and agreed site access.

Put Your Paving Measurements to Work
Enter the measured quantities and your rates. Docelf calculates the estimate total, so you can review the scope and send it to the customer.
Check the Measurements Behind the Price
The planned surface is only part of the job. Check these details against your site measurements before relying on the quantities in the estimate.
Area, edges and thickness
Show the paved area, edge length, removal depth, base depth and pavement thickness used to build the quantity and likely price.
Base and drainage
Describe subgrade work, aggregate type and depth, compaction, drainage corrections and tie-ins when they are included.
Material and equipment
Name the asphalt mix, concrete or other paving material and the equipment, placement method and compaction work behind the installed price.
Removal, access and cleanup
Add demolition, haul-off, disposal, mobilization, traffic access, cleanup and restoration when those tasks affect the job.
Keep the Measured Scope With the Estimate
Attach a site sketch or marked-up photo when it helps show the paved area, edge tie-ins or drainage work. You can add your logo and colors to the estimate and reuse saved customer details for the next job.
Paving Estimate, Quote, or Invoice?
Choose the document for the stage of the job: expected cost, a specific offer or a request for payment.
Estimate
Use a paving estimate when the intended surface is known but removal, base or site conditions may still change the likely cost.
Quote
Use a construction quote when the paving scope, build-up, price and terms are specific enough for approval.
Invoice
Use a construction invoice when completed or billable paving work is ready for payment.

After You Send the Estimate
After the customer reviews the estimate, update it if the area, base, drainage or thickness changes. Explain the change and send the revised price for approval. Docelf shows when the emailed estimate is delivered and opened.
When it is time to bill, create an invoice from the estimate in Docelf. The customer and item details carry over; check them against the work you are billing before sending the invoice.
Paving Estimate Template FAQs
Find answers about pavement build-up, removal, base work and changes in site conditions.
-
What is a paving estimate?
A paving estimate describes the pavement work you expect to complete and its likely price. It explains the measured area, planned layers and site conditions used to calculate that price.
-
What should I include in a paving estimate?
Identify the customer, site and area to be paved. Describe the removal, base and surface layers, with quantities and prices for the included work. Add the expected timing, relevant site assumptions, exclusions and estimated total.
-
Which details affect a paving estimate?
Two areas of the same size can need different work. Removal depth, base condition, drainage and the specified pavement thickness affect quantities. Access, equipment needs and haul-off also affect the price.
-
What is the difference between resurfacing and replacement?
Resurfacing adds a new layer over pavement that is suitable to remain. Replacement removes and rebuilds the affected pavement layers. The estimate should state which approach and build-up are included.
-
Should pavement removal and haul-off be separate?
You can show removal and haul-off as one clearly described item or separate them when they have different pricing bases. State what each rate includes. That makes it easier to revise the estimate if the removal quantity or disposal cost changes.
-
What should I do if the base or drainage work changes?
Update the scope, quantities, materials, equipment, schedule and likely total. Give the customer the revised estimate before relying on the earlier price for the changed site work.
-
Can a customer accept a paving estimate online?
Yes. Customers can accept or decline estimates online. Docelf updates the status and emails you when they respond.
-
Can I turn an accepted paving estimate into an invoice?
Yes. Create an invoice from the estimate in Docelf. Docelf copies the relevant customer, item, price and document details into the invoice, and you can adjust it for the work being billed.
-
Can I email or download a paving estimate?
Yes. You can email the estimate from Docelf, print it or download it as a PDF. You can also see when the emailed estimate is delivered and opened.
