How to Create a PDF Estimate

Finish the estimate before you export it. The PDF should be the clear customer copy, not the place where you fix missing job or pricing details.

  1. Business and Customer: Add your business, customer, job name and service address when needed.
  2. Number and Dates: Add a unique estimate number, issue date and valid-until date when relevant.
  3. Scope and Line Items: Describe the expected work and add quantities, unit prices and estimated amounts.
  4. Totals and Terms: Check discounts, taxes, the likely total, assumptions, timing and terms.
  5. Preview the Estimate: Read the document from top to bottom and check the page breaks.
  6. Download the PDF: Create the PDF only after the customer details, scope and price are ready.
  7. Open and Send: Open the saved file, confirm it displays correctly and then email or print it.
