How to Create a Mobile Invoice

Have the customer’s billing details and the agreed charges ready. Keep the descriptions short enough to check easily on your screen.

1. Check Your Business Details: Use the business contact information the customer should see.
2. Add Your Business Logo: Add your logo and check the preview at invoice size.
3. Choose the Customer: Select a saved customer to avoid retyping their address on your phone.
4. Check the Dates: Check the invoice number, invoice date and payment due date.
5. Enter the Job Charges: Add each service or material with its quantity and price.
6. Check the Amount: Add applicable tax or discounts. Review the total before leaving the job.
7. Add Payment Details: State how to pay and which payment reference to use.

Keep Mobile Invoice Line Items Easy to Check

Use a short service name and put the quantity in its own field. You do not need to type a full account of the visit into the description.

This illustrative USD example is for a lawn-care visit billed from the job site. The example applies 8% tax to all three charges; use only the tax that applies to your work.

What to Include in Mobile Invoice Terms

Tell the customer how and when to pay before you email the invoice. Clear instructions can save a follow-up call after you leave the job.

The example below uses payment on receipt for a completed visit. Use that timing only when it matches your agreement, and replace the bracketed contact details.

Give Small-Screen Details One Last Check

A quick review is especially useful when you are typing between jobs.

• Check the billing email instead of relying on a similar contact name.
• Review decimal points and quantities after typing on a small keyboard.
• Use the correct job address or service date when one customer has several locations.
• Read the total and payment instructions in the invoice preview.
• Check the emailed document’s history rather than assuming the customer has opened it.

Keep the description focused on the charge. Attach a job photo or supporting record when the customer needs more detail.
