How to Fill In a Word Invoice Template

Keep the blank DOCX as your original. Edit a new copy for each invoice so you do not overwrite a previous bill.

  1. Save a Working Copy: Use a filename you can find again, such as Invoice-1042-Customer.docx.
  2. Replace the Sample Details: Add your business and customer. Check the logo and contact details.
  3. Add the Number and Dates: Enter a unique invoice number, issue date and payment due date.
  4. Fill In the Charges: Edit the table rows with descriptions, quantities and prices.
  5. Check the Math: Recalculate line amounts, tax, discounts and the final total.
  6. Add Payment Instructions: State how to pay and include the terms you agreed.
  7. Preview and Save: Check page breaks, then save the DOCX and a PDF to send.

How to Fill In Word Invoice Line Items

Fill in the table with the work you are billing for. Keep hours and fixed fees on separate lines so the customer can check the bill.

This example bills for design revisions, preparing print-ready files, and a print proof. The sample adds 8% sales tax to all three charges, with no discount.

Check which charges are taxable and use the rate that applies to your bill. After editing a quantity, price or tax rate in Word, check the totals again.

What to Include in Word Invoice Terms

Replace the sample terms in the file with your own payment instructions. Check that the payment period matches the due date shown on the invoice.

Use only payment methods and policies your business actually uses. This example keeps the wording short so it is easy to fit below the charges.
