Start with the service agreement and any billing instructions from the client. Use the steps below to turn the completed work into an invoice.
- Identify the Service Firm: Enter the business name and contact details used in the agreement.
- Add Your Firm’s Logo: Keep the invoice consistent with the documents your client recognizes.
- Check the Billing Client: Confirm the billing business and the contact responsible for payment.
- Confirm the Number and Dates: Review the invoice number and issue date. Set the agreed due date.
- List the Completed Services: Name each service or deliverable. Add the hours or agreed fee.

How to Fill In Professional Services Invoice Line Items
Give each service its own description and pricing unit. For hourly work, enter hours as the quantity and the role’s hourly rate as the unit price. For one fixed-fee service, use a quantity of 1 and the agreed fee. Role labels help the client understand different rates without listing every staff member.
This fictional business implementation project uses USD. It combines analyst hours, a fixed-fee workshop, and training hours. The example assumes 8% sales tax applies to all three services.

What to Include in Professional Services Invoice Terms
Use Terms and Conditions to connect the charges to the service agreement. Include the project or purchase order reference the client needs, along with payment instructions.
State the billing period and use only payment terms agreed for this engagement. The example below fits the implementation work shown above. Replace the bracketed details to match your client.

Prepare a Bill the Client Can Process
