What Is an Auto Repair Quote?

An auto repair quote is a written offer for defined repair work on a specific vehicle. It tells the customer what you plan to repair, what the quoted work costs, and which terms apply before you begin.

Use a quote when you can give a firm price for the listed repair. If diagnosis may uncover more work, make that limit clear and update the quote before doing additional work that changes the price.

Use an estimate when the final repair cost may still change because the problem or required parts are not fully known.

Auto Repair Quote, Estimate, or Invoice?

A quote fits repair work you can define now. Use an estimate while diagnosis still leaves the cost uncertain. Invoice the approved work when it is ready to bill.

Auto Repair Quote

Use a quote when the repair scope is defined and you can offer a specific price for the listed work.

Auto Repair Estimate

Use an estimate when diagnosis, hidden damage, or parts availability could change the final cost.

Auto Repair Invoice

Send an invoice when payment is due. Start it from the accepted quote so you do not have to enter the repair again.

How to Create an Auto Repair Quote

A clear repair quote connects the vehicle, the work, and the price. Follow these seven steps.

How to create an auto repair quote with Docelf
  1. Add Your Shop: Enter your repair shop name and the contact details your customer should use.
  2. Add Your Logo: Add your logo if you want the quote to match your other shop documents.
  3. Add the Customer and Vehicle: Choose a saved customer or enter their details. Add the vehicle make, model, year, and other identifiers you use.
  4. Add the Quote Number and Dates: Add a unique quote number and issue date. Include a valid-until date when parts pricing or availability may change.
  5. Price the Repair: Add the repair operations, parts, quantities, labor, and other approved charges. Docelf calculates the total.
  6. Explain the Repair Scope and Terms: State what the quoted repair covers. Add warranty, payment, diagnostic, or authorization terms when they matter.
  7. Review and Send: Check the vehicle, repair scope, prices, and total. Then email the quote or download a PDF for the customer.

Before you send: Check the vehicle and repair description first. Then review the price and any shop charges. Make sure diagnostic limits or exclusions are clear before the customer approves the work.

After You Send the Quote

  • See when your customer opens or accepts the quote
  • Revise the quote if diagnosis changes the repair scope or price
  • Start the invoice from the accepted quote when payment is due

Keep Repair Pricing Clear When the Job Can Change

Repair work often becomes clearer after inspection or diagnosis. Set up the quote so the customer can tell what is approved now and what would require a new approval.

Identify the Vehicle

Include enough vehicle information to avoid mixing up jobs. Use the make, model, and year plus the identifier your shop relies on, such as a VIN or plate.

Describe the Repair, Not Just the Part

A part name alone may not explain the job. Pair it with the repair operation so the customer understands what the charge covers.

Separate Parts and Labor When Helpful

Show parts and labor separately when customers expect that breakdown. Add shop supplies or other charges as their own lines when they apply.

Requote Added Work

If diagnosis finds more work, update the scope and price. Get the revised quote accepted before doing work that was not in the original offer.

What to Include in an Auto Repair Quote

The quote should identify the vehicle, the approved repair, and the price the customer is agreeing to.

Name the repair operations clearly enough that the customer can compare the quote with the approved work later.

Repair Approved? Start the Invoice From the Quote

When the repair is ready to bill, open the accepted quote in Docelf and create the invoice. The customer and quoted line items carry over, so you can check the completed work instead of entering the job again.

If the final invoice should cover only part of the accepted work, adjust the invoice line items before you send it.
