How to Use a Quote Template in Excel
Open your working copy and replace the sample details. The illustration shows an online quote; the same information belongs in your workbook, though its layout may differ.
- Business Details: Replace the sample business name and contact details.
- Logo: Replace the sample logo or remove it if you do not use one.
- Customer: Enter the customer and job or delivery address when needed.
- Number and Dates: Add a unique quote number, issue date, and valid-until date. Enter fixed dates so they stay the same when you reopen the file.
- Items and Formulas: Enter each item, quantity, and rate. Check formulas in every added row.
- Totals and Terms: Review the subtotal and any tax or discount. Add timing, payment terms, and a clear way to accept the offer.
- Test and Export: Test the formulas, check the print area, and save a customer-ready PDF.
Check the Formulas Before You Send
Save a New Working Copy
Keep a blank workbook for reuse and save each customer quote separately. A name such as Quote-1042-Maple-Cafe.xlsx makes the file easier to find.
Test With Simple Numbers
In a spare copy, try a quantity of 2 at $60 each: the line amount should be $120. Change the quantity to 3 and check for $180, then restore the real values.
Copy Formulas Into New Rows
When you add a line, copy a complete row's formula and formatting. Check that the formula uses the new row's quantity and price, and that the subtotal includes it.
Review the Print Area
Check the last item and the right-hand amounts in print preview. A row can be included in the calculation but still fall outside the printed quote.
What to Include in a Quote
Even in a spreadsheet, the customer needs a clear offer and a total they can trust.
- Your business name and contact details, plus your logo if you use one
- Your customer's name and contact details
- A unique quote number, issue date, and valid-until date when needed
- A clear description of the products, services, or work
- Quantities, rates, prices, and the total, plus discounts and sales tax when they apply
- Expected timing, delivery details, and anything not included when relevant
- Payment or deposit terms when they apply
- A clear way for your customer to accept the quote
Save the Customer Copy as a PDF
In desktop Excel, select the cells that make up the quote. Choose Page Layout, then Print Area, then Set Print Area. Open print preview to check that descriptions, amounts, and terms fit.
Use File, then Save As or Save a Copy, and select PDF as the file type. Open the PDF before sending it; check for missing rows, cut-off amounts, or an extra blank page. Keep the XLSX so you can revise the offer later.
If the customer asks for a change, keep the PDF you already sent and save the revised quote as a separate version. Ask the customer to accept the latest offer so you both know which price and scope apply.
