Add the customer, work, price, and terms. Docelf calculates the total. When your customer accepts the quote, turn it into an invoice.
How to Use a Quote Template in Google Docs
Make your own copy and give it a useful name. Keep editing access limited while the wording is under review. Download a PDF only after you resolve comments and remove internal notes.
- Add Your Business: Replace the sample business name and contact details with your own.
- Add Your Logo: Add your logo if you want the quote to match your other business documents.
- Add the Customer: Enter the customer's name, business, and contact details.
- Add the Quote Number and Dates: Enter a unique quote number, the issue date, and a valid-until date when the offer expires.
- List the Products or Services: Add each item, quantity, rate, price, and line total. Google Docs does not calculate totals automatically, so check the subtotal, discounts, sales tax, and final total.
- Explain the Work and Terms: Explain what the quote covers and when you expect to deliver. Add the payment or deposit terms and anything the quote does not include.
- Add Acceptance Details and Send: Explain how your customer can accept. Resolve comments, remove internal notes, download a PDF, and check the layout before you email it.
Share the Right Version With Your Customer
Keep the Master Restricted
Keep the reusable template private. Work from a new copy for each customer.
Use Comments for Internal Review
Ask coworkers to comment when you want one person to control the final wording and price.
Name Copies Clearly
Use the quote number, customer, or project in the filename so you can find it later.
Resolve Comments Before You Export the PDF
A PDF keeps the layout fixed and helps prevent accidental changes after you send it.
Google Docs or an Online Quote?
Use Google Docs when several people need to work on the wording. Use Docelf when you want to calculate the total and send the quote from one place.
Create a quote online with Docelf when you want fewer files to manage and less to check by hand.
What to Include in a Quote
A shared document may help with drafting, but the customer still needs one complete offer and a clear total.
- Your business name and contact details, plus your logo if you use one
- Your customer's name and contact details
- A unique quote number, issue date, and valid-until date when needed
- A clear description of the products, services, or work
- Quantities, rates, prices, and the total, plus discounts and sales tax when they apply
- Expected timing, delivery details, and anything not included when relevant
- Payment or deposit terms when they apply
- A clear way for your customer to accept the quote
Other Quote Template File Formats
Choose Word for an offline document, Google Sheets for shared calculations, or PDF when the finished quote should stay fixed.
Google Docs Quote Template FAQs
-
How do I make a copy of a Google Docs quote template?
Open a template link and choose Make a copy. Google saves the new document in your Drive, so you can edit it without changing the original.
-
Do I need a Google account for the Docs template?
Google Docs normally requires a Google account to create and save your own editable copy in Drive. Your customer does not need access when you send a PDF.
-
Does Google Docs calculate quote totals?
Google Docs does not calculate quote totals automatically. Work out the line totals, discounts, sales tax, and final total separately. Check the math before you send the quote.
-
Can several people edit the Google Docs quote?
Yes. Share the document with specific people as editors or commenters. Check the sharing settings before you send the finished quote outside your business.
-
How do I download the Google Docs quote as a PDF?
Open the document, choose File, Download, and PDF Document. Review the downloaded file to make sure the table and page breaks look correct.
-
Should I send a Google Docs link or a PDF?
A PDF is usually better for a final quote because the layout stays fixed. Send a Google Docs link only when the customer needs to review the wording and the sharing permissions are correct.
-
Can I turn an accepted Google Docs quote into an invoice?
A Google Docs file does not turn itself into an invoice. In Docelf, you can turn an accepted quote into an invoice without entering the customer, work, and price details again.
