Make a Copy of a Free Google Sheets Quote Template
Choose a layout and follow its Make a Copy link to create your own spreadsheet. Give it a name that includes the customer and quote number. Create Quote Online opens Docelf separately.
How to Use a Quote Template in Google Sheets
Start in your own copy and replace the sample details. The illustration shows an online quote; your Google Sheets layout may arrange the same information differently.
- Business Details: Replace the sample business name and contact details.
- Logo: Replace the sample logo or remove it if you do not use one.
- Customer: Enter the customer and job or delivery address when needed.
- Number and Dates: Add a unique quote number, issue date, and valid-until date. Use fixed dates that will still identify this offer when you reopen it.
- Items and Formulas: Enter each item, quantity, and rate. Extend formulas into new rows.
- Terms and Acceptance: Check the total, then write timing, payment terms, and acceptance instructions on the quote itself, not only in comments.
- Review and Export: Resolve comments, check sharing, and download the final PDF.
Keep the Team Working From the Same Offer
Protect Formula Ranges
On a computer, use Data, then Protect sheets and ranges. Select the formula cells and set who may edit them. Leave quantity and price cells available to the people preparing the quote.
Use Comments for Questions
Give a reviewer Commenter access when they only need to ask questions. Agree who checks the final price, then put any agreed changes in the quote itself.
Check Version History
Use File, then Version history, then See version history to investigate an unexpected price change. Review the other edits before restoring an earlier version so you do not lose useful work.
Check New Rows and Totals
A new row needs its own quantity and price in the formula, and the subtotal must include it. In a spare copy, 2 items at $60 should total $120; changing the quantity to 3 should give $180.
What to Include in a Quote
The working sheet may be complex, but the customer copy still needs a clear offer and a total they can trust.
- Your business name and contact details, plus your logo if you use one
- Your customer's name and contact details
- A unique quote number, issue date, and valid-until date when needed
- A clear description of the products, services, or work
- Quantities, rates, prices, and the total, plus discounts and sales tax when they apply
- Expected timing, delivery details, and anything not included when relevant
- Payment or deposit terms when they apply
- A clear way for your customer to accept the quote
Send the Offer Your Team Has Agreed On
On a computer, choose File, then Download, then PDF. Export the current quote sheet or selected quote cells, and check that all items, totals, and terms are included. Open the saved PDF to review the finished pages before emailing it.
The PDF captures the offer at that point; later edits to your working sheet do not update it. Keep the sent copy with the quote number. If the price or scope changes, send a revised copy and make clear which version replaces the earlier offer.
If you share a spreadsheet link instead, give the customer a separate file containing only their quote. Protected ranges control editing; they do not hide internal prices or other customers' information.
Use Docelf for the Customer Quote

How do I make a copy of a Google Sheets quote template?
Open a template link and choose Make a copy. Google saves the new spreadsheet in your Drive, so you can edit it without changing the original.

Do I need a Google account for the Sheets template?
Google Sheets normally requires a Google account to create and save your own editable copy in Drive. Send the customer the exported PDF unless they need access to the working pricing sheet.

Can Google Sheets calculate the quote total?
Yes. You can use formulas for line amounts and the quote total. Check the formulas in your chosen copy before relying on them, including each row's quantity and price, the subtotal range, and any tax or discount.

How do I protect the formula cells?
On a computer, choose Data, then Protect sheets and ranges. Select the formula range and set its editing permissions. A warning only asks someone to confirm an edit; use a restriction to limit who can change the cells.

Can several people edit the Google Sheets quote?
Yes. Give Editor access to people who need to change the sheet, Commenter access to reviewers, and Viewer access to people who only need to read it. Agree who checks the finished offer before it goes to the customer.

Should I send a Google Sheets link or a PDF?
A PDF gives the customer a copy that does not update when you edit the working sheet. Use a link when they need the spreadsheet itself, with access to a separate file containing only their quote.

Can I turn an accepted Google Sheets quote into an invoice?
Use the accepted Sheets quote as the basis for a separate invoice, checking the items and adding the payment due date. If you created the quote in Docelf, you can create an invoice from that quote and reuse its customer and item details.
