Fill In the Fields That Explain This Offer
Keep related details together so the customer can follow the form from the job to the price. Include the information that belongs to this offer:
- Who: Your business and contact details, optional logo, and the customer receiving the quote.
- Which offer: A unique quote number, issue date, and valid-until date when needed. Add a job or order reference the customer will recognize.
- What and how much: Describe the products or work, with quantities, unit prices, and the total. Add tax or a discount only when it applies.
- What happens next: Explain timing, payment terms, relevant exclusions, and how to accept in Terms and Conditions.
Delivery instructions matter for goods; a service address matters for work at a property. Payment timing or a deposit policy belongs only when it is part of your offer. You do not need a field for every possible job.

Use quantities for the number of products and one for a fixed delivery fee. Delivery is an item in the table, so it is included in the subtotal. Prices are in US dollars; the illustrative 8% tax applies to all three charges. Use the applicable tax treatment for your own order.

Finish the Form With Clear Terms
The Terms and Conditions field answers the questions the price table cannot: when the offer expires, what delivery includes, and when payment is due. It also gives the customer a clear response step.
The sample below belongs to the office order above. Adapt it to your actual offer and the policies your business uses.
Example: Terms and Conditions
- Quote 2056 is valid until October 11, 2026.
- The price includes four chairs, two desk lamps, and delivery to 18 Example Street. Assembly is not included.
- Accept the quote and confirm the delivery address to proceed. Payment is due before delivery.
- Delivery will be within seven days of payment, on a date agreed with Maple Studio.

Check What Changed Before You Send
