How to Create an Auto Parts Receipt

Start with the parts order or counter-sale record. Part names and numbers help the customer check exactly what they bought, especially when similar parts have different prices.

List the Parts So the Customer Can Match Them

Use a part name the customer can recognize alongside the part number. Show whether the price is for one part, a pair or a set. That avoids confusion when the customer checks the quantity against the packaging.

Here's an example of a parts purchase paid in full by card. An illustrative 8% tax applies to the $80.00 US-dollar subtotal. Use your own part numbers in place of the example codes.

The $86.40 payment covers this purchase in full. Use your actual prices and applicable tax treatment rather than copying the example rate.

What to Include in Auto Parts Receipt Notes

Notes are useful for the order reference, vehicle details that helped identify a part, or the condition of a used or rebuilt item. Keep the part number with its line item so the customer can match it without searching through the note.

Include only return or warranty information your shop actually provides, and check any local requirements that apply. A reference to the supplied warranty document is clearer than an unsupported promise of coverage.

Make the Sale Easy to Check Later

If a part is used or rebuilt, say so in its description. Add the vehicle reference from the order when it helps identify the purchase.

Core Charges and Later Returns

If you collected a separate core charge, name it separately so the customer can tell it from the price of the part. When a core is returned, keep the refund paperwork with the original sale so both amounts are easy to trace.

Parts With Installation

Reuse the Parts List, Not the Old Payment

  Yes, when you have one. A clear part name helps the customer recognize the item, and the part number helps match it to the order or packaging. State whether the quantity counts individual parts, pairs or sets.

• How do I describe used or rebuilt auto parts?

  Describe the part as used or rebuilt and add its identifying number when useful. Refer to any condition or warranty information supplied with it.

• Where does a separate core charge go?

  Give a collected core charge its own clearly labeled line when it is not included in the part price. Explain any actual return arrangement in Notes. Keep a later refund record connected to the original receipt rather than treating it as another payment received.

• Does every parts receipt need a vehicle identification number?

  Not always. A part number and order reference may be enough for a counter purchase. When a VIN was used to select the part, including it can help match the receipt to that order.

• Is a payment already received the same as a discount?

  No. A discount lowers the sale price. An earlier payment reduces the balance still unpaid. Keep those amounts separate so the receipt records only the new money received.

• Can I send the receipt with a warranty document?
