Keep the Payment With the Bakery Order
A bakery receipt connects a payment to the baked goods your customer ordered. An order number helps you find a custom cake booking later. For a counter sale, familiar product names make the purchase easy to check.
The receipt date is the date you received payment, even when pickup or delivery happens later. The pickup details can go in Notes, with the order reference.
How to Create a Bakery Receipt
Already have the cake or wholesale order on a Docelf invoice? Record the payment and create a receipt from that invoice to reuse the customer and item details. For a sale without an invoice, start below. Docelf calculates the total and any remaining balance.
- Your Bakery: Add your bakery name and contact details.
- Your Logo: Use the logo from your packaging, or leave it out.
- The Customer: Choose a saved customer or add their details.
- Number and Date: Check the number. Use the date you received payment.
- Baked Goods: List the goods, quantities, and prices per item or pack.
- The Payment: Record the amount received. Check tax, discounts, and balance.
- Order Notes: Add the payment method and pickup details. Review, then email or save a PDF.
How to Fill In Bakery Receipt Line Items
Match the quantity to the way you sold the goods: one cake, two dozen cupcakes, or four loaves. A decorating charge only needs its own row when it is not already included in the cake price.
This fictional order uses US dollars. The customer paid in full on September 18, 2026, for pickup on September 20. An illustrative 7.5% tax applies to all three items.

What to Include in Bakery Receipt Notes
Notes help you find the custom order when the customer arrives. An order reference and pickup contact are usually enough; add a short cake description when it helps identify the order.
Here is wording for the order above. Adapt the details to your sale; include storage, return, or cancellation policies only when they reflect your actual arrangements and local requirements.

Show a Deposit Without Reducing the Cake Price
A customer may pay part of a custom order before you start baking. Keep the agreed products and prices, then record that money as a payment. A loyalty discount reduces the price; a deposit pays part of it.
For an order paid in installments, show the deposit received and the remaining balance. When the balance arrives, the next receipt records only that payment and refers to the earlier deposit.
Make Wholesale Orders Easy to Match
A cafe buying pastries may use an order reference and pay for several trays at once. Put the cafe in the customer details and describe the contents of each tray or case. The person collecting the order may be different from the business that paid.
Keep delivery charges separate when they have their own price. For an order that also includes event staffing or setup, the catering receipt guide covers those extra details.
Reuse Your Bakery Details, Not the Old Payment
Your logo, colors, and fonts can match your packaging. Put a phone number, email, or website in the footer so the customer knows how to reach you about the order. You can also attach a PDF or image of a custom-order summary.
For a repeat cafe customer, saved customer and product details save you from typing the same information again. You can also duplicate a receipt to start a new draft with a new number. Update the quantities, prices, and Notes for the new order, and use the new payment’s amount and date.
Email the receipt from Docelf to see delivery and opening information, or print it for the pickup bag. A customer who needs another copy should receive the same receipt again, not a new payment record.

How do I list baked goods sold by the dozen or tray?
Match the quantity to the price unit. For two dozen cupcakes at $32.00 per dozen, enter quantity 2 and unit price $32.00. The line amount is $64.00.

Where does a loyalty discount go?
Show the actual discount separately from the product charges and use the tax treatment that applies to the order. A deposit is different: it is money received toward the order, not a reduction in the price.
