How to Create a Car Receipt
A car receipt records money received for a specific vehicle. Start with the sale paperwork so the buyer, vehicle identification number (VIN) and price match your records.
Already invoiced the sale in Docelf? Record the payment and create the receipt from that invoice. For a standalone receipt, use the steps below. Docelf lets you choose the first receipt number and numbers the next ones for you.
- The Seller: Add your name or dealership and contact details.
- Your Logo: Add a dealership logo, or leave it out.
- The Buyer: Enter the buyer named in the sale paperwork.
- Number and Date: Use a unique number and the payment date.
- Vehicle and Extras: List the vehicle and any separately priced extras.
- The Payment: Enter applicable tax and the amount received.
- Sale Notes: Add the VIN, sale reference and payment method in Notes. Check and send.
Show the Vehicle Price and the Payment Received
Give the vehicle its own line. Add an accessory or delivery charge only when it has its own agreed price. A sale without extras needs just the vehicle line. Docelf calculates the line amounts, tax and total from the details you enter.
This example shows a car purchase with a separately purchased wheel set and delivery, paid in full by bank transfer. Amounts are in US dollars, with illustrative 6% tax on all three charges. Use the tax treatment that applies to your sale.
| QTY | Description | Unit Price | Amount |
|---|---|---|---|
| 1 | Pre-owned compact sedan — sale CAR-204 | $9,500.00 | $9,500.00 |
| 1 | Additional wheel set — separately purchased | $400.00 | $400.00 |
| 1 | Vehicle delivery — agreed flat charge | $100.00 | $100.00 |
| Subtotal | $10,000.00 | |
| Sales Tax (6% on all charges — illustrative) | $600.00 | |
| Total Paid | $10,600.00 |
The buyer’s $10,600.00 bank-transfer payment settles the sale in full.
What to Include in Car Receipt Notes
Notes can connect the payment to the VIN, sale agreement and handover details. Include the year, make and model, plus mileage when it helps identify the vehicle. Use only details that match the sale paperwork.
The receipt date is the date you received the payment, even when you prepare the receipt later. Label any pickup or delivery date separately. Keep the sale agreement, warranty documents and any locally required vehicle-transfer paperwork with the payment record.
Example: Notes
- Vehicle: [Year, Make, Model]. VIN: [VIN]. Sale agreement: CAR-204.
- Bank-transfer payment of $10,600.00 received September 24, 2026. Paid in full.
- Vehicle handover: [Handover Date and Location], as agreed in the sale paperwork.
Give the Buyer a Record of This Payment
Keep the vehicle reference and the money received together. Create the receipt in Docelf and send the buyer a copy.
Keep Deposits, Trade-Ins and Final Payments Distinct
When a buyer pays a deposit, the receipt should identify the vehicle and say that the payment is a deposit. It can show the agreed sale total and remaining balance without describing the whole sale as paid.
For the final payment, keep the same sale reference and show the deposit as an earlier payment. Use the new payment date and amount for the new receipt. A trade-in allowance is not money received; check its treatment against the sale paperwork rather than recording it as a cash payment.
Still asking the buyer to pay? Use a car dealer invoice for the bill. The receipt comes after the payment.
Keep a Copy With the Vehicle Sale
Email the receipt from Docelf or download a PDF for the buyer. The receipt history shows when an emailed copy was delivered and opened, so you can check whether the buyer has viewed it.
A buyer asking for another copy needs the existing receipt, not a new payment entry. You can also attach a relevant sale breakdown so the buyer can keep it with the receipt.
More Car Receipt Previews
For a dealership sale, use your logo, colors and font so the receipt matches the other sale documents. A private seller can leave out the logo and keep a clear name and contact address.
Put a phone number, email or website in the footer for questions. Choose the currency used for the payment: Docelf supports USD, EUR, GBP, CAD and AUD.

Car Receipt FAQs
Here are the details that often need a second look when money changes hands for a vehicle.
-
Can I use this receipt for a private car sale?
Yes. A standalone receipt can name you as the seller and record the buyer, vehicle and payment. Keep the receipt with your sale agreement and any vehicle-transfer documents required for your location.
-
Can a car receipt show a deposit rather than full payment?
Yes. Identify the vehicle and label the money received as a deposit. Show the agreed sale total and remaining balance. When another payment arrives, create a receipt for that new amount rather than recording the full sale price as paid again.
-
Which date should I use if the buyer pays before pickup?
Use the date you received the money as the receipt date. Put the pickup or delivery date in Notes with its own label. Preparing or sending the receipt later does not change the payment date.
-
Does a receipt replace the vehicle sale paperwork?
Use the receipt to confirm payment. Keep the signed sale agreement, financing or warranty documents, and any required transfer forms separately. The receipt can reference them, but it should not be treated as a replacement for them.
-
What amount goes on the receipt for the final payment?
Record the amount received now. If the buyer previously paid a deposit, keep that earlier payment separate and show the balance after the final payment. Do not count the deposit as money received again.
-
What should I do when the buyer needs another copy?
Open the existing receipt and email, print or download it again. Keep the same receipt number, payment date and amount because you are providing a copy of the same payment record.
Ready to Confirm the Vehicle Payment?
Finish the payment record while the sale details are close at hand.
- Identify the buyer and vehicle
- Record the amount paid and payment method
- Email the receipt or keep a PDF copy
