Child Care Receipt Previews

Families need to see which care period their payment covers. These previews show ways to present that record; every preview opens the same Docelf receipt editor.

Show the Care Period the Family Paid For

A child care receipt connects a parent or guardian’s payment to the child and care period. It can cover daycare, after-school care, or babysitting. Use the date you received the money as the receipt date, and label the care dates separately.

If the care is already on a Docelf invoice, record the payment and create the receipt from it. That keeps the payment connected to the family’s bill. For a new standalone receipt, use your care records and the amount actually received.

How to Create a Child Care Receipt

Start with the parent or guardian who paid. Add enough care detail for the family to recognize the period without copying unnecessary information about the child.

How to create a child care receipt in Docelf
  1. Your Care Business: Enter your name or daycare name and contact details.
  2. Your Logo: Add your business logo, or leave it out.
  3. The Payer: Enter the paying parent or guardian’s details, or choose a saved customer.
  4. Number and Date: Check the number and use the date you received payment.
  5. Care and Extras: List care dates, quantities, and agreed rates for care and extras.
  6. The Payment: Record the amount received and payment method. Check the total and any applicable tax.
  7. Notes and Review: Add a care reference in Notes. Review, then email, print, or download the PDF.

Break Down Weekly Care and Agreed Extras

Use weeks for a weekly fee and hours for extra hourly care. Meals or activities need separate rows only when the family agreed to separate charges. Anything already included in the weekly fee stays included.

This fictional USD example covers September 14–18, 2026 for one child. Three extra hours and five lunches are outside the weekly care fee. No tax is included in this example; use the tax treatment that applies to your charges.

QTY Description Unit Price Amount
1Weekly daycare — September 14–18, 2026 $320.00$320.00
3Extra afternoon care — hours outside the weekly plan $15.00$45.00
5Lunches — separately agreed meals for the week $5.00$25.00
Subtotal$390.00
Total Paid $390.00

The family’s $390.00 bank transfer arrives on September 18, 2026, and pays for the week in full. Use September 18 as the receipt date. A weekly fee with no separately charged extras can use one line.

What to Include in Child Care Receipt Notes

Notes help the family connect the receipt to your care records. Include the child’s name or agreed reference, the care period, and a short payment confirmation. Leave attendance explanations and private family details out when they do not help identify the payment.

These Notes match the weekly example. Replace the child’s details and payment information with those from your own records.

Example: Notes

  • Care reference: CC-214, Avery. Care period: September 14–18, 2026.
  • Received $390.00 by bank transfer on September 18, 2026.
  • Paid in full for weekly daycare, three extra care hours, and five separately charged lunches.

Keep Each Child and Payer Clear

For siblings covered by one payment, identify each child’s care on separate lines when the dates or rates differ. Show an agreed sibling discount once rather than reducing the fees and subtracting it again.

When two adults pay separately, each receipt should identify its payer and the amount that person paid. Keep the same care-period reference where useful, without attributing the whole family payment to each adult.

When a Family Pays in Advance or in Parts

A payment before the care week starts still gets the date you received it. Describe the upcoming care period without calling it completed care. The receipt records payment, not attendance.

If the family pays $250.00 toward the $390.00 example, the receipt shows $250.00 received and $140.00 remaining. A later $140.00 payment gets its own receipt. Together, the two receipts confirm the $390.00 paid for that care period.

Help Families Keep Their Payment Records

Families may need copies for an employer program or another record-keeping purpose. Ask which details the recipient needs, then use the care and payment information you have on record. A routine receipt confirms payment; it does not guarantee a tax credit or reimbursement.

You can print, email, or download the receipt as a PDF. For an emailed receipt, Docelf shows delivery and opening information. A PDF or image attachment can support the care-period detail when needed; check that it includes only information this family should receive.

For the next payment, reuse the parent’s saved details and your regular care services. Duplicating a receipt gives you a new draft with a new number. Update the child and care-period details. Use the new payment date, amount, and Notes.

Your logo and footer contact help families recognize the receipt and know where to ask a payment question. You can also adjust its colors and font. Docelf supports USD, EUR, GBP, CAD, and AUD; use the currency agreed with the family.
