How to Create a Cleaning Receipt
The property and visit are a good starting point. Already sent a Docelf invoice? Record payment and create its receipt to reuse the items. For your first new receipt, choose a number; Docelf handles the next numbers.
- Your Business: Enter your cleaning business name and contact details.
- Your Logo: Add your logo, or keep the receipt plain.
- The Client: Choose a saved client or enter their details.
- Number and Date: Check the number. Use the date you received payment.
- The Cleaning: List the visits, hours or rooms and the price for each.
- The Payment: Record the amount received and payment method. Check any applicable tax or discount.
- Notes and Send: Add the property and visit date in Notes. Review, then email or download a PDF.
How to Fill In Cleaning Receipt Line Items
A client should be able to recognize the clean from the item rows. The main service and separately priced extras can each have a line, with quantities labeled as visits, hours or rooms. Docelf calculates the amounts.
In this fictional US-dollar example, a client pays cash for a move-out clean. Supplies are included in the main price; oven and fridge interiors are extras. An illustrative 8% tax applies to all three services.
| QTY | Description | Unit Price | Amount |
|---|---|---|---|
| 1 | Move-out clean — two-bedroom apartment | $180.00 | $180.00 |
| 1 | Oven interior cleaning — agreed extra | $45.00 | $45.00 |
| 1 | Fridge interior cleaning — agreed extra | $30.00 | $30.00 |
| Subtotal | $255.00 | |
| Sales Tax (8% illustrative) | $20.40 | |
| Total Paid | $275.40 |
The $275.40 cash payment covers the listed cleaning services in full. These prices and tax are examples—your receipt should match your service's own charges and tax rules.
What to Include in Cleaning Receipt Notes
The property and cleaning date tell the client which visit they paid for. A booking or invoice reference is especially helpful when you look after several of their properties.
The visit and payment may happen on different days. Use the payment date as the receipt date and put the cleaning date in the description or Notes.
Example: Notes
- Cash payment of $275.40 received on [Payment Date] for cleaning at [Property Address / Unit].
- Move-out clean completed on [Service Date]. Oven and fridge interiors charged separately.
- Booking: CLEAN-4101. Paid in full. Thank you.
The Client Paid. Send the Cleaning Receipt.
Use saved client and service details in Docelf to finish the payment record. Review the visit and amount received, then send the receipt or download a PDF.
When One Payment Covers Several Visits
Some clients pay for several visits at once. When each visit has the same price, you can use the number of visits as the quantity and put the dates in the description or Notes.
Different properties, prices or extras are clearer on separate lines. An apartment or unit number helps a property manager place each clean without having to ask.
Show What Is Included and What Costs Extra
A package description can say what's already covered, including supplies. Oven, carpet or window cleaning needs another charge only when it costs extra, not when it's part of that package.
For hourly work, the important detail is whose hours you're counting: one cleaner's or the whole team's. Using the agreed unit keeps the receipt consistent with the price your client paid.
Create Receipts for Repeat Clients
Your regular clients don't need you to start from scratch each time. Saved client and service details help, and you can duplicate a receipt to begin a new draft with a new number.
The draft still needs this visit's dates, property, extras and payment. Send it when the new payment arrives, keeping the earlier receipt as the earlier payment's record.
A Receipt Your Clients Recognize
Your logo and usual colors make the receipt easy to recognize. You can title it “Cleaning Receipt” and leave your phone, email or website in the footer for questions.
Docelf supports USD, EUR, GBP, CAD and AUD. A relevant cleaning checklist or service record can go with the receipt; the attachment guide shows how. Keep those files about the job being recorded.
Emailing from Docelf gives you delivery and opening information. Keep the receipt with the visit records so another copy is easy to send when the client asks.

Cleaning Receipt FAQs
A little help with visit dates, team hours and the payment your client made.
-
What should I send if the client has not paid yet?
An invoice asks for the cleaning payment; a receipt confirms you've received it. With a Docelf invoice, record payment first and create its receipt from there.
-
Which date should I put on a cleaning receipt?
Use the date you received the payment as the receipt date. The cleaning dates belong in the description or Notes so your client can recognize the visits.
-
How do I show hours for a cleaning team?
Use the unit agreed with your client. Two cleaners working two hours is four cleaner-hours. A rate for the team instead uses two team-hours. Naming the unit in the description makes the calculation clear.
-
Should cleaning supplies have their own line?
Only when they're priced separately. Supplies and tasks that are already included in a cleaning package don't need another charge.
-
Can I give a cleaning receipt for cash?
Yes. Record the amount and payment date, with “Cash” as the method. The property and cleaning date connect that payment to the visit.
-
What if the client paid only part of the cleaning bill?
Show what's been received and what's left. If the client paid only $100.00 toward a $275.40 bill, $175.40 remains unpaid. The next payment gets its own receipt.
-
Can my client share the receipt with a landlord or employer?
Yes. The business details, property, cleaning date and tasks make it useful as a record of the payment. Your client can share a PDF or printed copy.
