How to Create Your Receipt
Already have the customer's invoice in Docelf? Open it and record the payment under Payment. After saving, choose Create Receipt from that invoice's menu in the invoice list. The invoice-to-receipt guide shows the steps.
Docelf brings over the customer and item details and keeps the receipt linked to that invoice. Starting without an invoice? Have the charges and payment record nearby, then follow the numbered fields below.
- Your Business: Enter your business name and contact details.
- Your Logo: Add your logo, if you use one.
- The Customer: Choose a saved customer or enter their details.
- Number and Date: Check the number. Use the date you received payment.
- Items and Prices: List the purchase with quantities and agreed prices.
- The Payment: Add any tax or discount. Record the amount received.
- Notes and Review: Add the payment method and reference. Review before sending.
Fill In the Items, Then Check the Payment
Use the quantity to show how you charged: hours for timed work, a count for products, or one for a fixed fee. Docelf calculates each line amount, then adds any tax to the subtotal.
This fictional example is receipt 1081 for a desk-assembly visit. The work took place on September 22, 2026, and the customer paid by bank transfer on September 23. The receipt date is September 23, even if you send it later.
Prices are in US dollars. The example uses an illustrative 8% sales tax on all three charges. Use the tax rate and taxable items for your own sale.

Use Notes to Connect the Payment to the Job
A job reference helps your customer match the receipt to the work. When the work and payment happened on different days, label the service date clearly in Notes.
For the desk-assembly example, a short confirmation is enough. Replace the sample details with your own.

Finish the receipt while they're in front of you. Docelf handles the totals, so you can check the payment and send a clear copy.
Keep Part Payments Separate From the Charges
A deposit reduces what the customer still owes; it doesn't reduce the agreed price. Keep the full charges on the receipt, then record the amount received. Docelf calculates the remaining balance from the payment details.
When another payment arrives, create a receipt for that new amount and date. Starting from the related invoice helps keep the purchase and payment records together.

Make the Receipt Recognizable
Your logo, usual colors, and a readable font help the customer recognize your business. Put a contact email, phone number, or website in the footer so a payment question reaches the right place.
Choose the currency that matches the payment: USD, EUR, GBP, CAD, or AUD. You can add an industry name before “Receipt” when it helps describe your business.
Need to include a service record or product guide? Attach a PDF or image rather than squeezing the whole document into Notes.
Review It, Then Choose How to Send It
Read the receipt as though you were the customer. Can you recognize the purchase and see exactly what was paid? Check the amount against your payment record, then review any remaining balance.
Check the recipient's email address before sending. Email the receipt from Docelf to see delivery and opening information in its history. Or download a PDF to send yourself or print.
For a new sale, reuse saved customers and items. You can also duplicate a receipt to start a new draft with a new number. Check the copied items and prices. Replace the payment amount, payment date, and Notes so the draft records only the new payment.

Questions About Creating a Receipt

Can I create a receipt without an invoice?
Yes. Create a receipt on its own and enter the customer, purchase, and payment details. When the payment belongs to an existing Docelf invoice, start there to reuse the customer and items.

How do I number my first receipt?
Choose the starting number for your first receipt in Docelf. Docelf numbers new receipts in sequence after that. Keep each receipt number with its payment so you can find it again.

Which date should I use when the customer paid yesterday?
Use yesterday's date, because the receipt date is the date you received payment. Creating or sending the receipt today does not change that payment date.

Can one receipt include products and hourly work?
Yes. Use the number of products as the quantity for goods and the number of hours for hourly work. For a fixed-fee service, use a quantity of one and describe what the fee covers.

Can I create a receipt for a deposit?
Yes. Record the deposit as the payment received and show the remaining balance. Keep the full purchase charges distinct from the deposit. The deposit is a payment, not a discount.

Will the receipt be sent as soon as I create it?
You choose when to email the receipt. Review the customer, payment, and recipient before sending. You can also download a PDF or print a copy instead.
