Give the Customer a Copy They Can Use Later
The customer may keep the receipt long after they leave your shop or you finish the service. Clear item names and a purchase reference help them ask about the right transaction without describing everything from memory.
When the customer paid a Docelf invoice, record the payment and create a receipt from that invoice. For a sale without an invoice, start a standalone receipt. Either way, the receipt records payment rather than asking for it.
How to Create a Customer Receipt
Use the details from this customer’s purchase. The receipt date is the day you received payment, even when you prepare or send the receipt later.
- Your Business: Add the business name the customer recognizes and your contact details.
- Your Logo: Add your logo when you use one.
- The Customer: Enter the buyer’s name or choose a saved customer.
- Number and Date: Review the receipt number. Use the date payment was received.
- The Purchase: Name the items or service and show quantities and prices.
- The Payment: Check tax, discounts, and the total. Record the amount paid and payment method.
- Notes and Review: Add the purchase reference in Notes. Review and send the receipt.
Help the Customer Recognize Each Item
Use a name the buyer will recognize, with a size or model when that helps identify the item. Docelf multiplies each quantity by its unit price and calculates the total. For a service, use the description to name the work.

The $124.20 card payment covers the purchase in full. Use the prices and taxes from the customer’s actual sale.
What Helps in Customer Receipt Notes?
Use Notes for a purchase reference and a brief confirmation of the payment. Your contact details can go in the footer, where the customer can find them when a question comes up.
Add return or warranty wording only when it reflects your actual policy and local requirements. The example below confirms the accessory purchase; add only the extra details that apply to your sale.

Finish the Sale With a Useful Receipt

Keep the Buyer’s Details on the Receipt
The person picking up a purchase may not be the customer who paid for it. Keep the purchasing customer or company in the customer details. Use Notes for a separate pickup reference only when it helps explain the transaction.
For a business purchase, check which contact needs the copy. For a gift purchase, remember that this payment receipt shows prices and belongs to the buyer’s records.
Send Another Copy Without Recording Another Sale
If the customer loses the receipt, use the existing document to email, print, or download another copy. Keep the same receipt number and payment date so both copies refer to one payment.

Keep Your Business Easy to Find
Your logo, colors, and fonts help the receipt look like it came from your business. Include a useful email, phone number, or website in the footer. You can add an industry name before “Receipt” when that makes the document clearer.
Use the currency the customer paid in: USD, EUR, GBP, CAD, or AUD. A PDF or image attachment can carry relevant product information or care instructions without crowding the receipt.
Check the Customer’s Copy Before You Send
Look over the quantities, amount received, and customer details. For a partial payment, show what remains rather than labeling the sale paid in full.
