Confirm the Payment for This Design Stage
Your client may pay for the whole project, settle one stage, or send a deposit before work starts. The project name and stage help them see what the payment covers. For a business client, the company name and invoice reference help their office match it to the right bill.

How to Create a Design Receipt
For a new receipt without an invoice, start with the agreed charges and payment record. Choose the first receipt number; Docelf assigns the next numbers in order. As you enter the work, Docelf calculates line amounts, discounts, taxes, and totals.
- Your Business: Enter your designer or studio name and contact details.
- Your Logo: Add the logo your client knows, or leave it out.
- The Client: Choose a saved client or add their contact details.
- Number and Date: Check the number. Use the date you received payment.
- The Work: List the project stage, quantities, and agreed prices.
- The Payment: Check any tax or discount. Record the amount received and payment method.
- Notes: Add the project reference. Review, then email or download a PDF.
How to Fill In Design Receipt Line Items
A package can stay on one row with a short description of what's included. Extra pages or hourly work need separate rows only when you've priced them outside the package. Included revisions should not appear again as extra charges.
This fictional launch project uses US dollars. An illustrative 8% sales tax applies to all charges. The client pays for the project in one bank transfer.

What to Include in Design Receipt Notes
Notes can connect the payment to the project reference and say whether it settles the invoice. Keep file-delivery and usage arrangements in your existing design agreement rather than adding new terms to the receipt.
In this example, the work was completed before the payment arrived. September 22 is the receipt date; the project completion date is clearly labeled in Notes.

Give the Client a Clear Payment Record
Keep the paid project and payment details together in Docelf. Review the receipt, then email it or download a PDF.
Record a Deposit for Work Still Ahead
For an advance payment, name the planned stage and call the payment a deposit. A receipt can confirm that money arrived without suggesting the logo, website, or source files are complete.
When another payment arrives, record it on the design invoice and create a receipt from that payment record. The new receipt shows the amount just received and the remaining balance. Earlier payments stay separate, so the client can follow what's been paid at each stage.
Use a Preview to Identify the Paid Work
A small PDF summary or preview image can help the client identify the work covered by a payment. Use the same project name and stage as the receipt, so the client doesn't have to guess which version it refers to.

Reuse the Client Details, Not the Old Payment
Docelf saves client and service details for future projects. You can also duplicate a receipt to start a new draft with a new number. Update the project, charges, and payment for the new receipt. Use the date the new payment arrived and replace any Notes from the earlier project.
Before emailing the receipt, check the client's payment contact. Docelf's document history shows delivery and viewing information. Keep the receipt with the project records so the client's next payment question is easy to answer.

What should a design receipt say about revisions?
Name the package and any included revision rounds when that helps the client recognize the work. List extra revision time only when it was separately priced. Refer to the project agreement for the revision arrangements rather than adding new conditions to the receipt.

What date should I use if the work and payment happened on different days?
Use the day you received payment as the receipt date, even if you create or send it later. For the example above, that's September 22, 2026. The work was completed on September 19; that date belongs in the description or Notes, labeled as the completion date.

Can I send a design receipt before starting the project?
Yes, once you have received a deposit. Identify the project and the planned stage, then show the deposit amount and any remaining balance. The wording should confirm the payment without saying that the design work is finished.

How do I show a discount and a previous payment?
The discount reduces the price; a previous payment reduces what is left to pay. Show a discount with the charges and keep earlier payments in the payment history. The receipt confirms the amount received now.
