Keep the Payment With the Client’s Project
A client may have several pieces of work underway with you. A project name and the work it covers help them match the payment to the right invoice.

How to Create a Freelance Receipt
Work from the agreed project fees and the payment received. A delivery date can help identify the work, but the receipt date is the date the client’s payment arrived.
- Your Details: Use your name or the business name your client knows.
- Your Logo: Add your logo when you use one for client work.
- The Client: Choose the client and check the details for their records.
- Number and Date: Review the receipt number. Use the date payment arrived.
- The Project: Name the project work and show fixed fees or hourly charges.
- The Payment: Check tax and earlier payments. Record the new payment and review the balance.
- Notes and Review: Add the payment method and project reference. Review and send the receipt.
Make the Project Fees Easy to Recognize
Use the project names and descriptions from your agreement or invoice. Docelf calculates each line from the quantity and price. List approved extra work separately from a fixed fee so included hours aren’t charged twice.

What to Include in Freelance Receipt Notes
A project name and invoice reference are usually enough to connect the payment to your work. Notes can explain whether it is an advance, a payment for a stage, or the final amount for the listed invoice.
Here’s how you could confirm the case-study payment using its invoice and transfer references.

Name the Work the Client Paid For
A useful description says what the client received: a case study, a design package, a consultation, or a finished website page. A project name helps when similar work appears on more than one invoice.
For hourly work, show the task, hours, and agreed rate. For a fixed-price deliverable, show the fee once. You can attach a brief PDF work summary or relevant image when the client needs extra detail.
A Project Advance Is Still a Payment
A client can receive a receipt for an advance before you deliver the work. Say that the money is an advance for the named project rather than describing future work as completed.
When the rest arrives, record that new payment against the project invoice and create its receipt. The earlier advance stays part of the payment history; it isn’t counted as money received again.
Use a Familiar Name and Design Across Client Work
Use your own name or the business name the client knows from the project. A logo is optional; matching colors and fonts can still make the receipt recognizable. You can add an industry name before “Receipt” and keep your email, phone number, or website in the footer.
