Show What the Buyer Paid for the Gift Card
A gift card receipt records what the buyer paid. The card’s face value is its stated starting value, which may be higher than the purchase price during a promotion. Showing both explains the difference.
Use Docelf to create the payment record. Your gift-card system or issuer handles activation, redemption, and the value left on each card. For an order already invoiced in Docelf, record the payment and create the receipt from that invoice.
How to Create a Gift Card Purchase Receipt
For a standalone receipt, start with the buyer’s details and the cards supplied. You can choose the first receipt number; Docelf numbers later receipts for you.
- Your Business: Add your store name and contact details.
- Your Logo: Use the logo the buyer knows from your store.
- The Buyer: Enter the purchaser’s name, not just the gift recipient’s.
- Number and Date: Check the number. Use the date payment was received.
- Gift Cards: List quantities, face values, and the purchase prices.
- Purchase Total: Add any discount or tax. Record what the buyer paid.
- Purchase Notes: Add an order reference and payment method. Review, then email or save a PDF.
Keep Gift Card Value and Purchase Price Clear
Cards with the same face value and price can share a row. Use the quantity for the number of cards and put the face value in the description. The unit price is the selling price of one card.
In this fictional US-dollar purchase, four cards have a combined face value of $200.00. The buyer pays $200.00 by bank card on September 17, 2026. The example assumes no tax applies to this gift-card purchase; that is an illustration, not a rule for every location or card type.

The $200.00 bank-card payment covers the purchase in full. The cards have a combined face value of $200.00.
What to Include in Gift Card Receipt Notes
Notes is a useful place for a purchase reference and payment confirmation. Use a masked card reference or an internal order number rather than a redeemable code or PIN.
The sample below records the purchase and payment. Keep activation instructions and any expiration or refund terms with the card information. Use only the issuer’s actual terms, checked against local requirements.

- Order GC-218: two $25.00 cards, one $50.00 card, and one $100.00 card. Combined face value: $200.00.
- Payment of $200.00 received by bank card on September 17, 2026.
- Paid in full. Keep this receipt with the separately supplied gift cards.
Make the Gift Card Purchase Easy to Check

Buying a Gift Card and Paying With One Are Different
For a gift-card purchase, the gift card is what the buyer paid for. When someone later spends the card on goods or services, those goods or services belong in the item rows instead.
When a customer spends gift-card credit, record the products or services purchased and identify the payment method in Notes. Do not record another gift-card sale for the same purchase.
Match the Receipt to the Buyer and Order
Name the person or business that paid, even when somebody else will receive the cards. An order reference connects a bulk purchase to the cards supplied without displaying their full redemption details.
For a replacement copy, resend the existing receipt with its original payment date and number. A new receipt is for a new payment, such as a separately paid reload, not simply a new copy of the card.
Use Your Store’s Details, Then Share the Receipt
Choose your store’s logo, fonts, and colors, and put a customer-service contact in the footer. Use the purchase currency; Docelf supports USD, EUR, GBP, CAD, and AUD.
A PDF or image attachment can hold the issuer’s card information, with any redemption codes removed. Email the receipt from Docelf and see when it is delivered and opened. You can also print it or download a PDF.
For another order from the same buyer, reuse their saved details. A duplicate receipt starts a new draft with a new number. Update the card quantities and prices, then check the new amount received, payment date, method, and order reference.

Should the receipt show face value or the price paid?
Put the face value in the description and the selling price in Unit Price. In the example, $200.00 of card value costs the buyer $200.00. If you offer a promotion, show it as a discount only if it is not already included in the selling price.

Does creating the receipt activate the gift card?
No. This receipt records the payment. Handle activation and redemption through your gift-card system or issuer, and keep those records separate from the receipt.

Should I include the full gift card number or PIN?
Use an internal reference or only the identifying characters you need. Leave redeemable codes and PINs off a receipt that may be forwarded or printed.

Does the buyer or the gift recipient go on the receipt?
Use the buyer who made the payment. You can add an order or recipient reference in Notes when it helps, but the payment record should still identify the purchaser.

Which date do I use when the cards are collected later?
Use the date you received payment as the receipt date. A collection date can go in Notes under that label. It does not replace the payment date.

Is a remaining receipt balance the value left on the gift card?
No. A receipt balance is money still unpaid on the purchase. The card’s remaining spendable value belongs in your gift-card records. Spending the card later does not change how much the buyer paid for it.
