How to Create an HVAC Receipt
Use the service bill and payment record as your starting point. If the bill is in Docelf, record the payment on it and create its receipt. Docelf brings over the customer and item details. You can also start a receipt without an invoice using the steps below.
- Your Business: Enter your HVAC business name and service contact.
- Your Logo: Add your business logo, or leave it out.
- The Customer: Choose the homeowner, property manager, or business.
- Number and Date: Check the number. Use the date you received payment.
- Service and Parts: List the visit, parts, and labor at the agreed prices.
- The Payment: Apply tax or discounts. Record the amount received.
- Unit Notes: Add the unit reference and payment method. Review and send.
List the HVAC Charges the Customer Paid
Name the repair rather than writing only “HVAC service.” Use separate rows for diagnostic work, parts, and labor when that matches the bill. Docelf calculates the amounts, including the tax you enter.
In this fictional USD example, the customer pays after a thermostat replacement. An illustrative 8% tax applies only to $161.00 of parts.

Use Notes to Identify the Unit and Visit
A property may have more than one heating or cooling unit. The service address and a useful unit reference help the customer match the receipt to the right equipment. Add a model or serial number only when it helps identify what you worked on.
The visit in this example was on September 17, but payment arrived on September 18, 2026. September 18 is the receipt date, even if you send it later. The earlier service date belongs in Notes with a clear label.

Send the Receipt for the HVAC Visit

Separate Plan Coverage, Discounts, and Payments
A maintenance plan may already cover the visit. If the customer pays for an extra repair, the receipt should identify that repair and the new payment. A covered visit with no new payment belongs in the service record.
A diagnostic discount reduces the price of the work. An earlier payment leaves the price alone and reduces what the customer still owes. When either applies, label it clearly so the customer can follow the payment record.
An installation deposit gets its own receipt once the money arrives. Name the planned equipment so it’s clear the payment is for future work. An HVAC invoice is the document for requesting payment.
Keep the Service Details with the Receipt
Your logo, font, and colors can match the rest of your HVAC paperwork. Use “HVAC Receipt” as the title and keep your service phone, email, or website in the footer. Choose the job’s currency from USD, EUR, GBP, CAD, or AUD.
A PDF or image attachment can hold the service summary or existing warranty details without crowding the payment record. Refer to coverage already agreed for the work instead of adding new warranty promises to the receipt.
Saved customers and services help you start the receipt for the next visit. Check that the unit and work description still fit. For your first receipt, choose a starting number; Docelf numbers later receipts in sequence.
After You Email the HVAC Receipt

Can one HVAC receipt cover work on two units?
Yes, when the payment covers both. Identify each unit in its item description or Notes and keep the amounts tied to the bill. A property address alone may not tell the customer which equipment was serviced.

Is a waived diagnostic fee a payment?
No. A waived or reduced fee is a discount, not money received. Show the reduction in the charges and record only the amount the customer actually paid as the payment.

Should I record another payment for a visit already covered by a plan?
Only record a payment when you receive more money. Keep a covered visit in the service record. A new receipt can confirm payment for an extra repair or a new plan period.

What date do I use when payment arrives several days after the HVAC visit?
Use the date you received payment as the receipt date, even if you create the receipt later. Keep the earlier service date in the description or Notes with the unit reference.

Does the receipt need to repeat the equipment warranty?
No. Keep the receipt focused on payment. A short note can point to the existing warranty or service record, and you can attach a relevant PDF or image. Include only coverage you actually agreed to provide.

How do I record a deposit for a replacement HVAC system?
After the money arrives, identify the planned system and record the deposit received. Show the balance for the agreed bill. A later receipt records the next payment, not the full system price again.
