Connect the Payment to the Visit

The massage type, length and date help your client recognize the visit behind the payment. Your name or your practice's name, with a contact for questions, makes the record useful later too.

A receipt can stay focused on the service and payment. Before entering client health information, check that Docelf and your way of sharing it meet your practice's privacy requirements.

How to Create a Massage Therapy Receipt

The session invoice can save you some typing. Record its payment in Docelf and create the receipt from it. For your first new receipt, choose a starting number; Docelf handles the next numbers.

How to Fill In Massage Therapy Receipt Line Items

One visit only needs one row. The description holds the session length, while a quantity of 1 means one session at that price—not one minute. Several dated rows work well when one payment covers several visits.

In this fictional US-dollar example, a client pays by card for three completed visits. An illustrative 5% tax applies to all three.

The $257.25 payment on September 17, 2026 settles these visits, leaving $0.00. Your practice's prices and tax rules may differ from this example.

What to Include in Massage Therapy Receipt Notes

A payment method or short visit reference is often all Notes needs. Treatment notes, diagnoses and other private health details belong in your practice's record system, not a routine receipt.

These Notes go with the three visits above. Use the actual payment date, session dates and reference when you adapt them.

When Your Client Prepays for a Package

A prepaid package records a purchase now, not a list of sessions already completed. The receipt can name the package and the date you received the payment, even though the visits are still ahead.

When a later visit uses that package, your package record tells you whether any new money was received. Attendance and a new payment aren't the same thing; a new payment receipt records new money only.

When a Client Asks About Reimbursement

A client may need the receipt for an insurer or wellness program. They can confirm what that recipient asks for, so you can include accurate provider and session details. Any separate claim form still follows your practice's usual process.

The receipt confirms the payment itself, not insurance coverage or reimbursement.

Check What You Share With the Receipt

Before sharing, check the client's email address and use a method that fits your practice's privacy requirements. Docelf offers email, printing and a PDF download.

• How do I show the length of a massage session?

  Put the length in the description, such as “Relaxation massage — 60 minutes.” A quantity of 1 then means one session at that price, not a per-minute charge.

• Can one receipt cover several massage visits?

  Yes, when one payment covers those visits. Give each visit its own date and price, and use the payment date as the receipt date. The example shows three completed visits paid together, rather than a prepaid package purchase.

• Should I include a therapist registration or license number?

  Add your registration or license number when the recipient asks for it or local rules require it. Use your own number, not one from a sample.

• Can my client use this receipt for reimbursement?

  Your client can confirm what their insurer or wellness program needs. Include the requested provider and session details accurately. The receipt confirms payment but doesn't guarantee reimbursement; any separate claim form follows your practice's usual process.

• Can I issue a receipt for a cash massage payment?

  Yes. The amount, payment date and Cash method record what you've received. A session date or visit reference connects it to the service.

• How do I record a partial payment for the visits?

  Show the payment and what remains for those visits. For example, $200.00 paid toward $257.25 leaves $57.25. When the rest arrives, that payment gets its own receipt.

• Should I put treatment notes on the receipt?

  Keep it to the service, dates and payment details the recipient needs. Diagnoses and treatment notes belong in your practice's record system. Check your privacy requirements before entering client health information in Docelf.
