How to Create a Moving Receipt
Match the receipt to the payment for this move. With a Docelf invoice, record the new payment and create the receipt from it. Docelf copies the customer and item details; check them along with any earlier deposit and any balance.
You can also create a standalone receipt using the fields below. Choose the starting receipt number, and Docelf numbers later receipts in sequence.
- Your Business: Enter your moving business and contact details.
- Your Logo: Add your logo to match the customer’s booking.
- The Customer: Choose the customer who paid for the move.
- Number and Date: Check the number. Use the date you received payment.
- The Move: List the crew time, transport, and separately priced extras.
- The Payment: Enter the new amount received. Check tax and earlier payments.
- Move Notes: Add the booking reference and payment method. Review and send.
Show the Moving Charges and Total Paid
Use the units agreed for the move, such as crew-hours, boxes, or a flat transport price. Docelf calculates the line amounts, tax, and job total.
In the example below, a two-person crew completed a local move on September 23, 2026. The crew spent four hours packing, loading, and unloading; truck transport was priced separately. The US-dollar prices and 5% tax on all three charges are illustrative.
| QTY | Description | Unit Price | Amount |
|---|---|---|---|
| 4 | Two-person moving crew — crew-hours | $135.00 | $540.00 |
| 12 | Packing boxes supplied — boxes | $3.50 | $42.00 |
| 1 | Local truck transport — move | $125.00 | $125.00 |
| Subtotal | $707.00 | |
| Sales Tax (5% illustrative) | $35.35 | |
| Total Paid | $742.35 |
You received a bank transfer of $742.35 on September 24, 2026. That is the receipt date, and the payment settles the move in full.
Keep the Move and Payment References in Notes
The move date and pickup and drop-off addresses tell the customer which job the payment covers. Add the booking reference, and include the storage period when storage was priced separately. These dates describe the service, not when payment arrived.
The Notes confirm what the payment covers. This example matches the charges and total paid above.
Example: Notes
- Local move completed September 23, 2026, from [Pickup Address] to [Drop-Off Address]. Booking: MOVE-3092.
- Bank transfer of $742.35 received September 24, 2026. Paid in full for booking MOVE-3092.
The Final Payment Is In. Finish the Receipt.
Give the customer a record of the payment that settled the move. When you create it from the invoice, Docelf keeps the two documents connected.
Make Crew Hours Easy to Understand
Four hours for a two-person crew means four crew-hours at the agreed crew rate. The same time is eight worker-hours when a rate applies to each person. Use one approach consistently instead of multiplying a crew rate by the combined worker-hours.
In the example, four crew-hours at $135.00 equal $540.00. Packing boxes and truck transport have their own prices. When your package already includes either one, say so in the package description instead of adding that charge again.
Send a Receipt When the Deposit Arrives
The deposit receipt confirms the booking payment before moving day. Show the amount received and label the move as scheduled.
The next payment needs its own receipt, dated when that payment was received. Show the earlier deposit and any balance so the customer can follow both payments.
Save the Receipt With the Move Details
Use your logo, colors, and font, and add “Moving” before the receipt title. Your phone, email, or website can go in the footer so the customer knows where to ask for another copy. Docelf supports USD, EUR, GBP, CAD, and AUD.
You can attach existing job paperwork, such as a packing list or time record, as a PDF or supported image. Keep the receipt focused on the payment; longer job details can stay in those files.
For a new move, saved customer and service details give you a starting point. You can also duplicate a previous receipt into a new draft with a new number. Update the addresses, service dates, and charges, then check the receipt date and amount against the new payment.
Once the receipt is ready, email it, print it, or download a PDF. Docelf shows when an emailed receipt is delivered and opened.

Prefer a File for the Moving Receipt?
The Word and Google Docs templates let you edit a written receipt. Excel and Google Sheets provide a spreadsheet for time and material quantities. In either format, keep any earlier deposit separate from the payment recorded now.
Moving Receipt FAQs
Help with deposits, crew rates, and the payment that settles the move.
-
Can I give a receipt before the moving job is completed?
Yes, after you receive a deposit or other advance payment. Label what the payment covers and identify the scheduled move. Use the date the money was received as the receipt date, and do not describe the planned move as completed.
-
Should the final moving receipt show the full job price as the new payment?
Only when that full amount was received in the payment being recorded. In the example, the $742.35 bank transfer pays for the move in full. If a customer paid a deposit, show it separately from the final payment.
-
How should I show time for a two-person moving crew?
Use the unit agreed with the customer. Four hours for the whole two-person crew is four crew-hours, or eight worker-hours when charging by each person’s time. In the example, the rate is $135.00 per crew-hour, so the charge is $540.00.
-
Can I include packing materials or storage on the receipt?
Yes, when the payment covers those charges. Name the materials and quantities, or the storage service and period, with the agreed prices. Do not add a second charge for something already included in the moving package.
-
Which date goes on a receipt sent after moving day?
Use the date you received the payment, not the date you prepared or sent the receipt. Keep the move date in the description or Notes. In the example, the move was September 23 and payment was received September 24.
-
Does a customer’s request for another copy need a new receipt?
No. Send the same payment record again, keeping its number, payment date, and amount. Create a new receipt for a new payment, not simply because the customer needs another copy.
-
Can a moving receipt record a cash payment?
Yes. Show the amount received and use “Cash” as the payment method. Identify the move and any earlier deposit so the cash payment and remaining balance are easy to check.
Send a Receipt for the Moving Payment
Finish the paperwork with a receipt that explains exactly what this payment settled.
- Identify the move and services paid for
- Separate the deposit from the new payment
- Send the receipt or keep a PDF copy
