Connect the Payment to the Parking Stay
A parking receipt is easier to use when it names the lot or garage and the period covered. A ticket, reservation, or vehicle reference helps the customer connect the payment to that visit.
Keep the parking period distinct from the receipt date, which is the date payment was received. For a pass or parking service already billed in Docelf, record the payment and create its receipt from the invoice.
How to Create a Parking Receipt
Start with the parking record and the payment received. You can choose the starting number for your first receipt; Docelf numbers the next ones in sequence.
- Parking Operator: Enter the operator’s name and contact details.
- Your Logo: Add the logo shown on your parking information.
- The Customer: Name the person or business that paid.
- Number and Date: Check the number. Use the date payment was received.
- Parking Charges: List the stay or pass, quantity, and price.
- Amount Paid: Add any discount or tax. Record the amount paid.
- Parking Notes: Add the location, ticket reference, and payment method. Review, then email or save a PDF.
Show Parking Time and Separately Priced Services
For an hourly charge, enter the hours as the quantity. A four-hour stay at $5.00 uses 4 × $5.00; Docelf calculates the $20.00 line amount. Use 1 for a flat-rate pass.
This fictional US-dollar example covers parking on September 19, 2026, from 6:00 to 10:00 p.m. The customer paid by card on September 20, so September 20 is the receipt date. The illustrative 8% tax applies to all three charges here; use the fees and tax treatment that apply to your location.
| QTY | Description | Unit Price | Amount |
|---|---|---|---|
| 4 | Hourly parking — September 19, 6:00–10:00 p.m. | $5.00 | $20.00 |
| 1 | Valet service — same stay | $8.00 | $8.00 |
| 1 | Reserved-space upgrade — same stay | $4.00 | $4.00 |
| Subtotal | $32.00 | |
| Sales Tax (8% illustrative) | $2.56 | |
| Total Paid | $34.56 |
The $34.56 payment covers this stay in full. This example has three separately priced items; ordinary parking at one flat rate can use a single row.
What to Include in Parking Receipt Notes
Notes can hold the location and ticket reference without making every item description longer. Entry and exit times are useful for hourly parking; a monthly pass needs the covered dates instead.
The Notes below match the paid stay. Add a vehicle or permit reference when it helps identify the visit. Keep parking conditions in the operator’s terms.
Example: Notes
- Location: Harbor Garage, Level 2. Parking ticket: P-2846.
- Parking period: September 19, 2026, 6:00–10:00 p.m.
- Payment of $34.56 received by card on September 20, 2026. Paid in full for this stay.
Give the Customer a Record of This Stay
Add the stay and the payment received. Docelf calculates the total so you can check the receipt and send the customer’s copy.
Show What a Prepaid Pass Covers
For a monthly pass, name the garage, space or permit, and exact covered dates. A payment received before the month starts still uses its actual payment date on the receipt.
When the customer later uses that paid pass, the visit is not another payment. Create another receipt only when more money is received, such as for a separately paid extra or the next pass period.
Help Customers Find a Copy for Their Records
A customer looking for an expense record may remember the garage or date of the visit rather than your receipt number. Clear location and stay details make the payment easier to match. Include the details their expense policy needs without promising reimbursement.
When someone loses their copy, find the existing receipt using the parking and payment records. Resend or print it with the same number and payment date instead of recording the stay as paid again.
Reuse the Operator Details, Not the Old Stay
A familiar operator name and logo help customers recognize a receipt sent after their visit. You can choose fonts and colors and put a payment contact in the footer. Keep the receipt in the payment currency: Docelf supports USD, EUR, GBP, CAD, and AUD.
For regular customers, reuse their saved details or duplicate a receipt for a new draft and number. Update the stay or pass, rates, and ticket reference. Check the new amount received, payment date, and method before sending.
Attach a relevant PDF or image when it helps explain a parking charge. You can email the receipt directly from Docelf and check its delivery and opening history, or give the customer a printed copy or PDF.

Parking Receipt FAQs
-
Is the receipt date the day the customer parked?
Only when payment was received that day. Use the payment date for the receipt and label the parking date or period separately. In the example, the customer parked on September 19 and paid on September 20.
-
Should the quantity be hours or one parking stay?
Match it to the rate. Use hours for an hourly charge and a quantity of 1 for a flat-rate stay or pass. Describe the covered period so the customer can check the calculation.
-
Can the receipt include valet service or an upgrade?
Yes, when it was part of the paid transaction. Give a separately priced service its own line. If the parking price already includes it, explain that in the description instead of charging for it again.
-
Can I use this for a monthly parking permit?
Yes. Name the location, permit or space, and the exact period covered. Use the date payment arrived as the receipt date, even when the permit starts later.
-
Do I need the vehicle’s license plate?
Include it when it helps match the payment to the stay. A ticket or permit reference may be enough for your records. Put the useful reference in Notes rather than adding unnecessary personal details.
-
What should I send when the customer asks for another copy?
Share the existing receipt as a PDF, email, or printed copy. Keep its receipt number, payment date, and amount unchanged. Asking for another copy is not a new parking payment.
