Make the Product Easy to Identify Later
A buyer may need to tell two similar products apart long after the sale. A useful product receipt names the model, size, or version they bought, alongside the price and payment. Add a serial number when it helps identify that particular item.
For a product sale already on a Docelf invoice, record the payment and create a receipt from that invoice. Otherwise, start a receipt with the buyer and the products covered by their payment.
How to Create a Product Receipt
The receipt date is the day you received payment, not a later pickup or delivery date. Docelf calculates the line amounts, tax, discounts, and total as you add the products.
- Your Business: Add the seller’s name and a helpful contact.
- Your Logo: Add your business logo, or leave it out.
- The Buyer: Enter the buyer or choose a saved customer.
- Number and Date: Use a receipt number and the payment date.
- The Products: List models, quantities, and prices for the items sold.
- The Payment: Add tax or discounts. Record the amount received.
- Notes and Review: Add the payment method and product references. Review and send.
Describe the Product, Not Just “One Item”
Include enough detail to recognize each product without copying its whole specification sheet. When you sell a kit, say what the kit contains. Put extra accessories on their own rows so the buyer can see what is included and what costs extra.
Here’s a fictional tool purchase in US dollars: one drill kit, two extra batteries, and a bit set. An illustrative 7% tax applies to all items. The customer paid in full by card.

The kit and extras total $225.00 before tax. The $240.75 payment covers the full purchase, leaving no balance. Your receipt can have as few or as many product rows as the sale needs.
Add Product References in Notes
Use Notes for a serial number or sale reference the buyer may need later. Keep product details beside the relevant item when that makes them easier to match.
This example identifies the drill kit above. For care instructions or a warranty document, attach a relevant PDF or image. Only include warranty or return terms that match the sale and local requirements.

Give Every Product a Clear Description
Keep the model and payment together on one receipt. Add the details that help your buyer recognize the purchase.
Handle Packs, Kits, and Used Items Clearly
Use the same unit for the quantity and price. For two boxes of screws, enter two as the quantity and the price of one box. The description can state how many screws each box contains.
For a used or refurbished product, state its condition as agreed at the sale. A specific description such as “refurbished, with charger” gives the buyer a more useful record than “equipment.”
Keep Product Information Without Retyping It
Save commonly sold products with their descriptions and prices in Docelf. You can reuse those details on the next receipt and adjust the quantity or price. For an item with its own serial number, replace the old serial reference before sending.

Which product details should I put on the receipt?
Use the product name and the model, size, color, or version needed to identify it. Include the quantity and price. A serial number is useful for an individual item when you need to distinguish it from others of the same model.

Where can I add a product serial number?
Put it in the product description or Notes. For several items with serial numbers, place each number beside the product it identifies.

How should I show a kit and extra accessories?
Describe the kit and its included contents on one row. List additional accessories separately. In the example, the drill kit includes one battery, and the two spare batteries are extra items.

Can I create a receipt for a used product?
Yes. Describe the actual item and its agreed condition, along with what the buyer paid. Include accessories that came with it. Any return or warranty wording should reflect the sale rather than a general template policy.

Does a product receipt need several line items?
No. One product can have one row. The three-row example shows how to distinguish a kit from extras; it is not a minimum requirement for your receipt.

What should a receipt show when the buyer pays a product deposit?
Identify the product and state the deposit received, with any remaining balance. Keep the full product price distinct from that payment. A later payment needs its own receipt for the new amount received.
