Put Readability Before Decoration
A professional receipt helps the customer recognize your business and understand the payment without hunting for it. Keep the business name, purchase descriptions and amount received easy to read. Your branding should support those details, not compete with them.
If you already billed the customer in Docelf, record the payment and create the receipt from the invoice. You keep the relevant customer and item details without typing them again.
How to Create a Professional Receipt
For a receipt without an invoice, open the receipt editor and use the numbered example as a guide. Docelf calculates the totals and remaining balance from the details you enter, so you can focus on a clear, readable receipt.
- Your Business: Use your business name and current contact details.
- Your Logo: Add a clear logo that matches your business.
- The Customer: Choose a saved customer or enter their details.
- Number and Date: Check the number. Use the date you received payment.
- The Items: Write clear descriptions with units, quantities and prices.
- The Amounts: Add any tax or discounts and the amount received.
- Notes and Review: Add the payment method and reference. Preview before sharing.
Make Each Description Easy to Recognize
A customer should be able to match a receipt to an order even a few weeks later. Product names, pack sizes and quantities make that easier than a single line labeled “Printing.”
This fictional print order uses US dollars and an illustrative 7.5% sales tax on all items. The customer pays the full $150.50 by card on September 20, 2026.
| QTY | Description | Unit Price | Amount |
|---|---|---|---|
| 2 | Business cards — pack of 100 | $32.00 | $64.00 |
| 3 | Logo stickers — sheet of 24 | $12.00 | $36.00 |
| 4 | Printed envelopes — pack of 10 | $10.00 | $40.00 |
| Subtotal | $140.00 | |
| Sales Tax (7.5% illustrative) | $10.50 | |
| Total Paid | $150.50 |
The three rows identify 200 business cards, 72 stickers and 40 envelopes. The balance is $0.00. Replace the example quantities, prices and tax treatment with those for your order.
Keep Professional Receipt Notes Brief
An order reference helps the customer match the receipt to their purchase. When delivery happens later, label that date clearly in Notes and keep the receipt date as the payment date.
Here's a short example for the print order:
Example: Notes
- Payment of $150.50 received by card on September 20, 2026. Payment reference: POS-720.
- Print order PRINT-720. Delivery scheduled for September 21, 2026.
- Paid in full. Remaining balance: $0.00. Thank you for your order.
Let the Receipt Reflect Your Business
Keep your branding consistent and the payment easy to find. Create the receipt in Docelf, check the preview and share the finished copy.
Carry Your Business Style Through the Receipt
Use the same business name and logo that appear on your other documents. Choose a readable font and colors with enough contrast for the payment details to stand out. The logo, font and color guide explains the available customization.
Your footer can hold an email address, phone number or website. That keeps the main receipt focused on the payment while giving the customer a clear way to contact you. An optional industry name before “Receipt” can add context when it helps.
For longer service instructions or product information, attach a PDF or image. Keep the receipt itself short enough to scan.
Review the Version Your Customer Will Keep
Preview the receipt with your actual customer name and descriptions. Sample text may fit neatly, while a longer name or product description needs more room. For a deposit or installment, check that the new payment and remaining balance are easy to tell apart.
You can email the receipt directly from Docelf, print it, or download a PDF. Docelf shows when an emailed receipt is delivered and opened.
More Receipt Styles to Review
These remaining previews offer more ways to present the payment. You can add your own business details in the same receipt editor.

Professional Receipt Template FAQs
-
What makes a receipt look professional?
The business is easy to identify, the text is readable and the payment amount is easy to find. A logo and consistent colors help, but clear purchase and payment details do most of the work.
-
Can I create a professional receipt without a logo?
Yes. Your business name, contact details and a readable layout can be enough. Use accurate descriptions and payment information rather than adding decoration just to fill space.
-
How do I keep the receipt consistent with my invoices?
Use the same business name, logo, colors and font. For payment against a Docelf invoice, record the payment and create the receipt from that invoice so the relevant customer and item details carry over.
-
Does sending the receipt later change its date?
No. The receipt date is the date you received payment, not the day you send it. Keep a different delivery or service date clearly labeled in the description or Notes.
-
What should I check before printing the receipt?
Check the preview with your actual customer details and item descriptions. Make sure the amounts and Notes are readable and nothing is cut off. Then print the receipt or download a PDF to keep.
-
Can I use the receipt for a customer in another currency?
Docelf supports USD, EUR, GBP, CAD and AUD. Use the currency in which the payment was received and keep it consistent across the receipt. Don't combine amounts in different currencies into one total.
