A Clear Record of Which Rent Was Paid
The month or rental period is the detail a tenant often looks for first. Alongside the property and unit, it makes clear which rent payment the receipt confirms.
Your name or the property manager's name identifies who received the money. The tenant stays named on the receipt even when someone else pays; Notes can identify that payer when useful.
How to Create a Rent Receipt
Already using a rental invoice in Docelf? Record the payment and create its receipt. Otherwise, use the agreement and payment as your starting point. Choose your first receipt number; Docelf numbers the next ones for you.
- Landlord Details: Use your name or business name and contact details.
- Your Logo: Add a logo, or leave it out.
- The Tenant: Choose the tenant and check their contact details.
- Number and Date: Check the number. Use the date you received payment.
- Rental Charges: Name the property, rental period and charges for that period.
- The Payment: Record the amount received and check any remaining balance.
- Rental Notes: Add the payment method and reference. Check and send the copy.
How to Fill In Rent Receipt Line Items
For one month at one price, a rent-only receipt can use a single line with a quantity of 1. Other separately agreed charges can have their own rows, each naming the property or space and rental period.
This fictional US-dollar receipt covers September 1–30, 2026. Apartment rent, parking and storage have separate agreed prices. The tenant paid all three by bank transfer on September 1, with no tax or security deposit in this example.

The $1,485.00 payment leaves $0.00 for the listed September charges. Parking or storage that's already included in rent doesn't need another charge. Your agreement and local requirements govern your own receipt; this isn't a location-specific rental form.
What to Include in Rent Receipt Notes
Notes gives the full address and payment reference a home without crowding the item rows. Naming what a balance relates to also helps the tenant distinguish this month's charges from any earlier bill.
The sample below matches September's payment. Replace the property and transfer reference, while keeping deposit conditions and other rental terms in the agreement.

Record the Rent and Send the Receipt

Show a Partial Rent Payment
A receipt can confirm part of the rent without marking the whole month paid. In a separate example, $1,000.00 toward the $1,485.00 September charges leaves $485.00. That first receipt records the $1,000.00 received.
When the later $485.00 arrives, its own receipt shows that payment and $0.00 remaining for the listed September charges. The earlier money stays a payment, not a rent discount.
Keep Rent and Security Deposits Separate
A security deposit has a different purpose from rent. Label it as a deposit rather than a paid rental period, and follow the agreement and local requirements for handling it.
Rent paid in advance still belongs to a stated rental period—it just arrives before the period starts. The rental dates and actual payment date make the distinction clear.
The Next Month, Without Starting Over
Saved tenant details make the next receipt quicker to complete. You can duplicate a receipt for a new draft and number, then update the rental period, charges and payment.
Keep the receipt number with your property payment records. When the tenant asks for a copy, resend the existing receipt instead of entering that payment again.

Is the rental period the same as the payment date?
No. The rental period is what the rent pays for, such as September 1–30. The receipt date is the payment date—the day you received the money. Show the rental period separately.

What should I include on a cash rent receipt?
It should identify the tenant, property and rental period, together with the amount and date received. Cash is the payment method. The tenant's copy and yours then record the same payment.

Do I need a company name or logo?
No. An individual landlord can use their own name and contact details, and a logo is optional. The receipt should identify who received the payment and which property it belongs to.

Can one receipt cover several months of rent?
Yes, when one payment covers them. Name the exact periods. At the same rate, the quantity can be the number of months; different monthly amounts are clearer on separate rows.

How do I record payments from housemates?
Give each separate payment its own receipt, with the payer, property and rental period. Keeping the amounts distinct avoids counting one housemate's payment again as another's.

Is a security-deposit receipt proof that the rent is paid?
No. Label the security deposit separately and follow your agreement and local requirements. The rent record should show only money received toward the stated rental period.

What amount goes on the receipt after a partial rent payment?
Only the amount received, with the balance for that period. On $1,485.00 of September charges, a $1,000.00 payment leaves $485.00. The receipt can show both clearly.
