Confirm the Sponsor’s Payment Against the Agreement
A sponsorship receipt gives the sponsor a record of money already received. Name the event or project and the agreement or package so their team can match the receipt to the right commitment.
When the sponsorship was invoiced in Docelf, record the payment and create its receipt from the invoice. This keeps the receipt connected with the bill. A standalone receipt also works when you have the agreement and payment record but no Docelf invoice.
How to Create a Sponsorship Receipt
Keep the sponsorship agreement beside the payment record. Choose the first receipt number once; Docelf numbers later receipts for you.
- Your Organization: Add its name and a contact for sponsor questions.
- Your Logo: Use the organization or event logo the sponsor recognizes.
- The Sponsor: Enter the sponsor’s name and contact details.
- Number and Date: Check the number. Use the date you received this payment.
- Agreed Sponsorship: List the package or separately priced benefits as agreed.
- This Payment: Record this payment. Check earlier payments and Docelf’s remaining balance.

What to Include in Sponsorship Receipt Notes
Notes can tie a payment to the event and agreement without repeating every promised benefit. Include a payment reference and identify what any remaining balance belongs to.

Keep the Sponsor’s Payment Easy to Match

Record the Sponsor’s Next Installment
If a sponsor pays in installments, give each new payment its own receipt. Keep the receipts with the agreement so the sponsor can follow what has been paid and any balance still remaining.
Use the new payment’s date, even when it differs from the event date. If the sponsor simply needs another copy, resend the existing receipt with its original number and payment date.
Describe the Benefits the Sponsor Agreed To
Use the agreement’s wording for a package, advertisement, table, or recognition. That tells the sponsor what the payment covers without implying the benefits have already been delivered.
For U.S. tax-exempt organizations, the IRS distinguishes advertising from qualified sponsorship payments. Have your advisor check the arrangement and tax wording; the title “Sponsorship Receipt” does not determine its treatment.
When support is donated equipment or services rather than money, acknowledge what was supplied separately. Do not enter its estimated value as a cash payment received.
Give the Sponsor a Recognizable Record
Use your organization’s logo, fonts, and colors, and put a sponsor contact in the footer. Choose the payment currency before entering amounts. Docelf supports USD, EUR, GBP, CAD, and AUD.

Name the person or business that made the sponsorship payment. For a company payment, use the company’s name and the appropriate contact details. An agreement reference helps the representative match it to their records.

Should I price every benefit inside a sponsorship package?
Not when the package has one agreed price. Use one line for the package and describe included benefits without adding charges. Separate line prices should come from the agreement, not estimates added just for the receipt.

What amount goes on a receipt for a sponsorship installment?
Record the new amount received, not the agreement total. Keep earlier installments separate and show what remains on the named sponsorship agreement after the new payment.

Do I use the event date or the payment date?
Use the payment date as the receipt date. Label the event date separately in the description or Notes, even when the event is still ahead.

Does the receipt confirm that the advertising has been delivered?
