How to Create a Blanket Purchase Order

Build the document around the arrangement, not one shipment. The vendor should be able to see what is approved, who may order, how long the blanket PO lasts, and where the limits are.

How to create a blanket purchase order with Docelf
  1. Add Your Business: Enter your business name, address, and contact details.
  2. Number and Dates: Add a unique PO number and the arrangement's start and end dates.
  3. Vendor Details: Add the vendor's address and contact details, plus any account number.
  4. Approved Purchases: List the products or services covered by the blanket order.
  5. Prices and Limits: State agreed prices and quantity or spending limits.
  6. Releases and Delivery: Say who can place orders and add delivery instructions.
  7. Add Terms and Send: Add payment terms and request the PO number on invoices. Review and send.

Before you send it, check the effective dates, approved purchases, prices, limits, delivery instructions, and authorized contacts. “Order as needed” is useful. “Order anything forever” is not much of a control.

Set the Terms for Repeat Purchases Upfront

A blanket purchase order, sometimes called a blanket PO, covers multiple purchases from one vendor during a set period. Instead of agreeing on the same basics every time, you record the approved items or services, pricing, limits, dates, and delivery terms in one place.

Use it to:

Docelf keeps the document clear and calculates the line totals while you work. Less retyping for the next order. Fewer terms hiding in old email threads.

What Is a Blanket Purchase Order?

A blanket purchase order authorizes repeated purchases from the same vendor under agreed conditions. It usually covers a defined time period and sets boundaries such as approved products or services, fixed or agreed prices, maximum quantities, and a total spending limit.

The buyer can then place individual releases or orders against the blanket PO without starting the whole agreement again. Each release should refer to the blanket PO number so the vendor can connect the order, delivery, and invoice.

A blanket PO works best when the need is predictable but the exact delivery dates or quantities are not. You know what your business is likely to buy. You just do not need all of it on day one.

What to Include on a Blanket Purchase Order Template

A standard PO describes one defined purchase. A blanket PO also needs to describe the boundaries for future releases.

Buyer, Vendor, and Authorized Contacts

Include both businesses, the vendor representative, and the people or departments allowed to place releases. Add account, location, job, or department references when they help route the order.

PO Number and Effective Dates

Use a unique blanket PO number and list the start date, end date, and any review or renewal date. State whether unused authority expires at the end of the period.

Approved Items, Services, and Pricing

Describe what the vendor may supply. Include item numbers, service descriptions, units, rates, fixed prices, discount rules, or a price list reference when they apply.

Quantity and Spending Limits

State the maximum total value, maximum quantities, per-release limits, or category limits. Clear boundaries help prevent an everyday order from becoming an unexpected budget meeting.

Release Instructions

Explain how individual orders will be placed, who may place them, what information each release needs, and whether the vendor must confirm availability or price before fulfillment.

Delivery, Invoicing, and Terms

Add delivery locations, lead times, freight terms, payment terms, cancellation rules, and invoice instructions. Ask the vendor to show both the blanket PO number and release reference on each invoice.

When a Blanket Purchase Order Works Best

Use a blanket PO when you expect repeated purchases from the same vendor and can agree on the guardrails before the exact schedule is known.

A blanket PO may not be the right fit for a one-time purchase, an order with a fixed delivery and quantity, or work that needs a detailed contract and changing scope. In those cases, use a standard product or service purchase order and attach the agreement the vendor needs.

Blanket Purchase Order vs. Standard Purchase Order

A standard purchase order normally covers one specific purchase. The quantity, price, delivery date, and total are known when you send it.

A blanket purchase order covers multiple releases during a set period. It defines the approved vendor, purchases, prices, limits, and terms, while the exact release dates or quantities may change.

Keep Repeat Orders Inside the Agreed Limits

A blanket PO saves repeated setup, but it still needs attention. Keep each release easy to match with the original document and check the running activity before the limit sneaks up on you.

Docelf keeps the purchase order and vendor-facing document easy to create, send, and find. Your internal approval and spend-control process should still match how your business buys.
