Make the Price Easy to Follow

A good breakdown answers the customer’s main question: what am I paying for? Use enough detail to make the scope and price clear without turning the quote into an internal cost sheet.

For a line-by-line layout, you can also use the itemized quote template.

Quote Breakdown Example

This simple example groups the core price and keeps the optional work separate. Change the groups to fit your trade, service, or project.

Group Description Quantity Rate Amount
Preparation Site protection and surface preparation 4 hours $55 $220
Materials Primer, finish materials, and supplies 1 package $340 $340
Equipment Equipment rental 1 day $85 $85
Installation Installation and final checks 6 hours $55 $330
Subtotal Core quoted work $975
Sales tax 8% example rate $78
Quoted total Core work including example tax $1,053
Optional Extended cleanup service 1 $120 $120

Choose the Right Level of Detail

Use enough detail to make the price clear without turning the quote into an internal cost sheet.

Simple Total

Use one or two lines when the offer is straightforward and the scope is already clear.

Itemized Quote

Use separate lines when the customer needs to check each charge.

Phased Breakdown

Group a larger job by phase or milestone so the price follows the work.

What Is a Quote Breakdown?

A quote breakdown shows how the total is built. It can use separate lines or larger cost groups, depending on the job.

A breakdown does not need to reveal every internal cost. Include the detail the customer needs to understand and approve the offer.

How to Create a Quote Breakdown

Choose a structure that matches the job. Then add the detail from the top of the quote to the total.

Steps for creating a quote breakdown
  1. Add Your Business: Enter your business name, contact details, and logo.
  2. Add the Customer: Choose a saved customer or enter the customer’s name and contact details.
  3. Add the Quote Details: Enter the quote number, issue date, and valid-until date when needed.
  4. Choose the Cost Groups: Organize the work in groups the customer will recognize. Use the same structure in the pricing table and scope.
  5. Add Quantities and Rates: Add a quantity and rate when they help explain the price. Apply discounts or tax when needed. Docelf calculates the total.
  6. Separate Options and Terms: Keep optional work separate from the base price. Add the timing and terms below the table.
  7. Review and Send: Check that the scope matches the pricing. Email the quote or download a PDF.

Keep the Customer Quote Separate From Internal Costs

Your customer needs to understand the offer, not your private costing method. Keep internal calculations and supplier notes in your own records unless the agreement requires them.

Use descriptions the customer will understand. Explain the work and the result. Keep optional items clearly labeled so they are not mistaken for part of the accepted total.

Changed the Scope? Update the Breakdown

If the customer adds work or changes a specification, revise the affected line items and total. Send the updated quote and ask the customer to accept the new version before you rely on the revised price.
