What Makes an Estimate Printable?

A printable estimate is filled out before printing so the customer receives a clean, finished page. The important work, likely price and terms should remain clear without zooming, scrolling or opening a spreadsheet.

Check the page breaks before you print. Remove unused rows and make sure the likely total is not separated from the line items or assumptions that explain it.

How to Create a Printable Estimate

Complete the job and pricing details first, then use print preview to make sure the customer copy is clean and easy to follow.

Numbered steps for creating a printable estimate
  1. Business and Customer: Add your business, customer, job name and service address when needed.
  2. Number and Dates: Add a unique estimate number, issue date and valid-until date when relevant.
  3. Scope and Line Items: Describe the expected work and add quantities, unit prices and estimated amounts.
  4. Check the Total: Review line amounts, discounts, taxes and the final likely price.
  5. Assumptions and Terms: Add the expected timing, exclusions, terms and main assumptions.
  6. Preview the Pages: Remove unused rows and check that the total and terms are not split awkwardly.
  7. Download and Print: Save the finished PDF, open it and print the customer copy.

After You Send the Estimate

  • See when the customer opens or responds when you also email the estimate from Docelf
  • Revise and print a new copy if the work or likely price changes
  • Create the invoice from the accepted estimate when it is time to bill

Keep the Printed Copy Easy to Read

The printable version should look finished before it reaches the printer. The customer should not have to interpret a working document.

Keep Important Details Together

Keep the customer, scope, likely total and main terms in a sensible page order. Use another page rather than shrinking everything too far.

Use Clear Contrast

Choose readable text and a clean light or dark design. Check that headings and totals remain clear on the printer you plan to use.

Remove Empty Rows

Delete unused line-item rows and blank sections before downloading. Empty space should help the page breathe, not look unfinished.

Check Print Preview

Confirm the page range, scale and orientation in the PDF viewer. Print one test copy when the estimate has several pages or a dense table.

Printable Estimate, Paper Estimate, or PDF?

A printable estimate starts as a finished digital document and is then printed. A paper estimate may be used as the main physical working copy. A PDF is the fixed file you can email, download or print.

Printable Estimate Checklist

Check the document as a customer will see it on paper, not only as it looks in the editor.

Choose Another Estimate Format

Choose PDF for a fixed digital copy, paper for a physical working document or itemized when the line-item breakdown is the main need.
