How to complete an automotive estimate template
  1. Shop and Vehicle: Add your shop, customer, year, make, model, mileage and VIN when available.
  2. Inspection Findings: Describe the complaint, diagnosis or visible damage that supports the estimate.
  3. Repair Operations: Describe each repair or service in plain language the customer can understand.
  4. Parts and Materials: Add expected part quantities, unit prices and shop materials.
  5. Labor and Charges: Put the unit, such as hours, in the description. Add the rate and any shop charges.
  6. Unknowns and Terms: Label optional work, hidden-damage assumptions, taxes and the response deadline.
  7. Review and Send: Check the vehicle details, repair scope and likely total, then send the estimate.

Make the Repair and Likely Cost Easy to Review

A useful automotive estimate connects the specific vehicle and current findings to the parts, labor and other charges the customer is considering.

Identify the vehicle

Include the year, make, model, mileage, VIN or license information needed to match the estimate with the right vehicle and repair record.

Separate the repair work

Use one line or group for each repair operation. A customer should be able to see what is being repaired without decoding shop shorthand.

Show parts and labor clearly

List part quantities and prices. For labor, put the unit, such as hours, in the description and show the rate. Add shop supplies or fees as their own lines when they matter.

Label what is not known yet

State when the estimate depends on further diagnosis, teardown or hidden damage. Mark optional work separately so the customer knows what they are deciding on.
