How to Create a Mechanic Estimate
Start with the vehicle and the customer's concern. Use your findings to explain the recommended work, then price the parts and labor.
- Your Shop: Enter your business name and contact details.
- Your Logo: Add your shop logo if you use one.
- The Customer: Choose a saved customer or enter the customer's contact details.
- Number and Dates: Check the estimate number and date. Set a valid-until date when needed.
- Repairs and Prices: Identify the vehicle. Describe the proposed repairs and add parts, quantities and labor rates.
- Tax and Total: Check the subtotal, any tax or discount, and the estimated total.
- Terms and Sending: Add shop terms in Terms and Conditions. Check the scope and total, then email, print or download the estimate.
How to Fill In Mechanic Estimate Line Items
Describe the part or service, then show how its quantity and unit price build the amount. For labor, state whether the quantity means hours or one complete service so the customer knows what the rate covers.
This fictional US-dollar example prices replacement of an alternator and a worn drive belt after charging-system testing. The earlier diagnostic work was already billed and is outside this estimate. The illustrative 8% tax applies to the $360.00 in parts only; use the applicable tax treatment for your shop.

What to Include in Mechanic Estimate Terms
Use Terms and Conditions to explain the scope, part choice and how you will handle a change before work begins. Include only the policies your shop actually follows.
The sample below belongs to the alternator and drive-belt example. It tells the customer what the estimate includes and keeps any further work subject to a separate decision.

- This estimate covers the listed remanufactured alternator, drive belt and replacement labor.
- The earlier charging-system diagnostic charge was billed separately and is not included again.
- We will contact you with a revised estimate for approval before carrying out additional work.

Show the Diagnostic Work Before the Repair
A short finding is more useful than unexplained shop shorthand. For the example above, you might write: “Charging-system testing found that the alternator is not charging. The drive belt is worn; replacement of both is recommended.”
If more testing is still needed, price that step separately instead of presenting an unconfirmed repair as settled work. When a diagnostic fee has already been charged, note that fact so it is not counted again in the proposed repair total.

Keep Part Choices and Labor Easy to Compare
When you offer a new or remanufactured part, describe and price each option. Keep only the selected option in the item total; explain the alternative in Terms and Conditions or prepare a separate estimate for it. That way, the customer is not shown a total that charges for both.
Use clear labor descriptions and show whether a rate is hourly or for the complete service. The customer can compare the choices without guessing what each amount covers.
