Browse the designs for a custom cake, a wholesale delivery or a mixed bakery order. Each preview opens the invoice editor, where you can add your own items and prices.
Match the Invoice to the Bakery Order
A bakery invoice asks the customer to pay for a completed order or delivery. Use the order reference, pickup or delivery date and customer details so the invoice is easy to match to the sale.
List products in the units you actually sell, such as each, dozen, tray or case. Put separately priced decorating, delivery and setup charges on their own lines so the customer can see how you reached the total.
How to Create a Bakery Invoice
Start with the order details and agreed prices. Use the steps below to show the charges and tell the customer when and how to pay.
- Add Your Bakery Business: Enter the business name and billing contact details.
- Add Your Logo: Add your logo, colors and fonts if you want the invoice to match your bakery.
- Choose the Customer: Use the person or business responsible for payment.
- Set the Number and Dates: Add the invoice number, invoice date and payment due date.
- List the Bakery Order: Add each product or service with its quantity and price. Put the selling unit in the description.
- Check the Total: Check the quantities, prices, applicable tax and invoice total.
- Add Terms and Send: Add payment instructions in Terms and Conditions. Review the invoice, then email it or download a PDF.
How to Fill In Bakery Invoice Line Items
Use the unit that matches the sale. A custom cake may be one item, while cupcakes can be billed by the dozen and wholesale pastries by the tray or case.
This fictional order is priced in US dollars and includes a custom cake, cupcakes, pastry trays and local delivery. An illustrative 7.5% sales tax applies to all four charges.
| QTY | Description | Unit Price | Amount |
|---|---|---|---|
| 1 | Custom celebration cake | $165.00 | $165.00 |
| 3 | Assorted cupcakes — dozens | $36.00 | $108.00 |
| 2 | Breakfast pastry trays | $48.00 | $96.00 |
| 1 | Local delivery | $25.00 | $25.00 |
| Subtotal | $394.00 | |
| Sales Tax (7.5% example) | $29.55 | |
| Invoice Total | $423.55 |
The four charges add up to $394.00. Adding $29.55 in illustrative tax gives an invoice total of $423.55. Check the tax rules for your products and delivery charges where you do business.
What to Include in Bakery Invoice Terms
Use the Terms and Conditions field to explain when payment is due and how the customer can pay. Add the order reference when it helps identify a custom cake, wholesale delivery or event order.
Include only policies your bakery actually uses. Check local requirements before adding late fees, cancellation charges, deposit rules or other conditions that may be regulated.
Example: Terms and Conditions
- This invoice covers bakery order [Order Reference] for pickup or delivery on [Order Date].
- Payment is due on [Due Date] by [Accepted Payment Method]. Please quote [Invoice Number].
- Please contact [Billing Contact] with questions about quantities, delivery charges or the amount due.

Bill the Finished Bakery Order
Add the products and any separately priced delivery. Docelf calculates the total as you enter the quantities and prices. Review the invoice, then email it to your customer.
Check the Bakery Order Before You Send the Invoice
Match the invoice to what the customer ordered and what you actually delivered.
Order Reference
Add an order, contract or purchase reference when the customer uses one. For custom orders, include the pickup or delivery date so the invoice is easy to match to the order.
Quantities and Units
Use each, dozen, tray, case or another unit the customer recognizes. For wholesale orders, make the pack size clear in the description.
Custom Order Charges
List separately priced decorating, setup or special packaging as separate charges. If the agreed cake or package price already includes one of them, do not add it again.
Delivery and Payment
Show delivery as a separate charge when it has its own price. Record each payment on the correct invoice so the balance shows what is still due.
Record a Bakery Deposit as a Payment
If the customer has already paid a deposit toward this invoice, record it as a payment so the balance shows what remains due. Keep the original quantities and prices. Do not use a discount line to represent a payment.
If you sent a separate deposit invoice, check that invoice and its payment record before you prepare the final invoice. Make sure the final invoice does not count the same payment twice.
Keep the Bakery Invoice Consistent With Your Brand
Add your logo, colors and fonts if you want the invoice to match your bakery's other customer documents. You can also add an optional industry name before the invoice title and use the footer for billing or pickup contact details.
Attach a relevant PDF or image when it helps the customer check the order. Docelf supports PDF, JPG, GIF, PNG and WebP files up to 5 MB each. Set the invoice currency to USD, EUR, GBP, CAD or AUD.
After You Send the Bakery Invoice
Email the invoice to the customer or business contact handling payment. You can see delivery and opening information in the document history.
Keep the Order Payment Up to Date
- Use the order reference when you answer questions about charges.
- Record each payment on the invoice it belongs to.
- After recording the payment on the invoice, create its receipt for the customer's records.

Bakery Invoice FAQs
-
What should a bakery invoice include?
Include your bakery and customer details, invoice number, invoice date and due date. List the products and services with their quantities, units and prices. Show any tax that applies, the total due and payment instructions. If a payment has already been recorded, show the remaining balance.
-
How should I list items sold by the dozen, tray or case?
Use the quantity and unit your customer recognizes. For example, list three dozen cupcakes at the price per dozen or four pastry trays at the price per tray. For wholesale packs, make the case or pack size clear in the description.
-
How do I bill for a custom cake, decorating or delivery?
Use separate lines for a custom cake, detailed decorating, special packaging or delivery when each has its own price. If a package price already includes a charge, do not add it again.
-
How do I show a deposit the customer already paid?
If the deposit belongs to this invoice, record it there so the balance shows what is still due. If the deposit was billed on a separate invoice, check that invoice and its payment record. Make sure the final bakery invoice does not count the same payment twice.
-
Should I add sales tax to bakery products and delivery?
Tax rules for prepared food, baked goods and delivery vary by location. Add tax only when it applies to your sale, and check the current rules where you do business. The tax rate in the example may not apply to your sale.
-
Can I use the template for wholesale bakery orders?
Yes. Use the business customer's billing details and add the order or purchase reference they use when available. List the products by the case, tray, dozen or other agreed unit. Show delivery charges and payment terms clearly.
-
Can I create the bakery invoice from a quote or estimate?
Yes. Create the invoice from the quote or estimate. Docelf copies the relevant customer, item, price and document details. Check the final quantities, delivery charges, payments and due date before sending the invoice.
