Keep the Vehicle and the Offer on the Same Page

A vehicle quote can cover a vehicle sale or another vehicle-specific offer that does not fit a repair or detailing template. Identify the exact vehicle first, then show the price and the terms your customer is considering.

For mechanical repair work, use the auto repair quote template. For detailing packages, use the car detailing quote template.

What Is a Vehicle Quote?

A vehicle quote is a written offer built around a specific vehicle. It can cover a car, truck, van, or another vehicle. The quote shows the sale price or vehicle-specific service. Add options and fees when they are part of the offer, then state the terms the customer needs to accept.

Use the general vehicle template when the vehicle itself is the main subject of the offer. Use an auto repair quote for repair operations and parts, or a car detailing quote for detailing packages and add-ons.

When availability, inspection, or condition could change the final amount, make the assumptions clear or use an estimate until the price can be confirmed.

Vehicle Quote, Estimate, or Invoice?

Use a quote when the vehicle or service price is firm. Use an estimate when inspection could change it. Invoice the sale or service when payment is due.

Vehicle Quote

Use a quote when you can identify the vehicle and give the customer a specific offered price.

Vehicle Estimate

Use an estimate when inspection, condition, or uncertain work could change the final amount.

Vehicle Invoice

Use an invoice when payment is due for the vehicle or completed vehicle-related work.

How to Create a Vehicle Quote

A clear vehicle quote tells the customer exactly which vehicle and offer they are reviewing. Follow these seven steps.

How to create a vehicle quote with Docelf
  1. Add Your Business: Enter your dealership, shop, or business name and contact details.
  2. Add Your Logo: Add your logo if you want the quote to match your other business documents.
  3. Add the Customer and Vehicle: Enter the customer. Add the make, model, and year plus the identifier your business relies on. Add mileage or condition only when it affects the offer.
  4. Add the Quote Number and Dates: Add a quote number and issue date. Include a valid-until date when the vehicle or price is available for a limited time.
  5. Add the Price, Services, or Options: Enter the vehicle price or vehicle-specific services. Add options and fees as separate lines when that makes the offer easier to review.
  6. Add the Terms: State any deposit and payment terms. Explain delivery separately. Add a warranty or inspection condition only when it applies.
  7. Review and Send: Check the vehicle details and offered price. Review any extra fees, then email the quote or download a PDF.

Before you send: Confirm that the identifiers match the vehicle being offered. Check the main price and any extra fees. Then review the validity date and payment or delivery terms.

After You Send the Quote

  • See when your customer opens or accepts the quote
  • Update the offer if the vehicle, options, or price changes
  • Reuse the accepted details when you create the invoice

Make It Obvious Which Vehicle and Price the Customer Is Accepting

Vehicle quotes can become confusing when the identifiers, fees, and optional items are mixed together. Keep the offer anchored to one clearly identified vehicle.

Use Reliable Vehicle Identifiers

Use the make, model, and year plus the identifier your business relies on, such as a VIN or stock number. This helps distinguish one vehicle from another.

Lead With the Main Price

Put the main vehicle or service price where it is easy to find. Keep options and additional services on separate lines.

Show Fees Clearly

If documentation or delivery fees apply, name them instead of hiding them inside a single total. Do the same for taxes or other charges the customer needs to understand.

Set a Validity Date

A vehicle may be sold, reserved, or repriced. Add a valid-until date when the offer should not remain open indefinitely.

What to Include in a Vehicle Quote

Make it obvious which vehicle or vehicle service the offer covers and what the customer will pay.

Use the vehicle description and identifiers your business relies on so the offer cannot be mistaken for another vehicle.

Vehicle Quote Accepted? Reuse It for the Invoice

When payment is due, create the invoice from the accepted vehicle quote in Docelf. The customer and line items carry over, which gives you a clean starting point for the final bill.

Check the vehicle, options, fees, and payment details before sending the invoice.

Choose the Automotive Template That Matches the Offer

Use the general vehicle template when the vehicle is the center of the offer. Choose the repair or detailing template when the job is specifically about those services.
