What Makes a Letter Formal?
A formal letter presents a request, decision, or concern in a courteous, organized way. It identifies who is writing, explains the facts, and makes any requested response clear.
Use familiar words even for serious requests. “Please confirm the delivery date” works better than “We would be grateful for confirmation of the aforementioned arrangements.” Keep the wording respectful and the request easy to find.
A professional letter format is useful when you are writing to a new business contact, a government office, or a landlord. If an organization asks for an official letter format, check its instructions for any required details or forms.
Formal Letter Format: US and UK Conventions
The basic message stays the same across countries. The date, greeting, and closing may look different. These are common conventions. Follow the recipient’s instructions or your organization’s usual letter style when one is given.

Write out the month when a letter may cross borders. A date such as 10/12/2026 can mean different things to different readers. Keep punctuation consistent: if you choose open punctuation, omit the ending punctuation from both the greeting and closing.
For a US printed letter, use US Letter paper, a readable 11- or 12-point font, and margins around one inch. Keep the body left aligned and single-spaced, with a blank line between paragraphs. How to Format and Write a Formal Letter

- Your Business: Add your business name, address, and contact details. Use your letterhead if you have one.
- Recipient: Use the recipient’s name, role, organization, and mailing address. Check the spelling.
- Date and Reference: Set the letter date. Include a reference only when it helps identify the matter.
- Your Request: Add a greeting and an optional subject. Explain your purpose, supporting details, and requested response.
- Closing and Signature: Choose a courteous closing, leave room to sign, and add your name and role. Review, then print or download a PDF.
Before You Send
Read the letter as if you were receiving it. The reader should be able to find the request without searching through the background.
- Check the recipient’s name, title, address, and spelling.
- Make the purpose clear in the first paragraph.
- Check dates, references, and any supporting documents you mention.
- Ask for a specific response and give a reasonable reply date when needed.
- Check the greeting, closing, and signature space in the final preview.
After You Send the Letter

If the requested response date passes, send a brief follow-up naming the letter date and the decision you still need. Ask whether the recipient needs any more information.

Writing to a Government Office
Find the office that handles your request and check whether it has a form or a preferred way to receive inquiries. Address the person or team responsible, give any relevant reference, and explain what information or decision you need.
For a meeting-room inquiry, include the proposed date, expected attendance, access needs, and a useful reply date. If you are writing to a UK office, follow the date and closing conventions above.

Keep the Tone Formal and the Wording Simple
A straightforward request often needs only three short paragraphs. State what you need, give the facts the reader needs to decide, then explain how and when to respond.
- Name the action: “Please confirm the appointment by October 9” is clearer than “Your prompt attention would be appreciated.”
- Describe facts: Give dates, locations, or references that help explain the matter. Leave out guesses about someone’s motives.
- Use a courteous greeting: Check the person’s preferred title, or use their full name when you are unsure.

What is the correct format for a formal letter?
