How to Fill In Child Care Invoice Line Items
Give each type of care its own line when the rate differs. Name the dates covered and put the billing unit in the description. List activity materials separately only when the family agreed to that charge.
This sample bill uses U.S. dollars and covers after-school care for August 3–7, 2026. The two extra hours fall outside the regular sessions.
The example leaves out tax. Check whether tax applies to your care services or materials before sending your invoice.

What to Include in Child Care Invoice Terms
Use Terms and Conditions to explain the care period, payment timing, and how the family should pay. Keep the wording consistent with your care agreement.
Include only policies you use. Check local requirements before adding late-payment, cancellation, or other fees. Adapt this example to the family’s arrangements.

Check Sessions Against Your Care Records
For hourly care, use the hours you are billing at the agreed rate. For a fixed weekly fee, describe the week and what that fee covers rather than turning it into an hourly bill.

- Separate lines identify siblings or services with different rates.
