A downloadable quote template gives you a starting point for a written price offer. With Docelf, you build the quote online and download it as a PDF when it is ready to share.

The PDF is useful when a customer asks for an attachment, you need a printed copy, or you want to keep the offer with the job records. Make later changes in the working Docelf quote, then download a new PDF.

How to Create and Download a Quote

Start with the offer you want the customer to review. Docelf calculates the totals from your items, prices, discounts, and taxes.

Your Business: Enter your business name and contact details.
Your Logo: Add your logo if you use one.
The Customer: Choose a saved customer or enter the details for this job.
Number and Dates: Check the quote number, issue date, and valid-until date.
Items and Prices: Describe the offer with quantities and unit prices for each item.
Check the Total: Review the calculated total, including any taxes and discounts.
Terms and PDF: Add timing, payment terms, exclusions, and how to accept in Terms and Conditions. Preview the quote, then download the PDF.

Before downloading, check the customer details, quote number, issue date, and valid-until date. Review each item and the total, then make sure the scope and Terms and Conditions describe the offer you intend to send.

Open the downloaded PDF and check every page. Long descriptions and terms should be complete, with no awkward page breaks. If something needs changing, return to the working quote and download a fresh copy.

Give the file a useful name and save it with the customer or project records. Downloading the quote does not email it; attach the PDF to your own email or choose to send the quote from Docelf.

Keep the Exact Copy You Sent

A filename such as Quote-1042-River-Street.pdf tells you which offer the file contains. Save it with the job records instead of leaving it in a general downloads folder.

If the customer asks for changes, update the working quote and download a new PDF. Give the revised file a clear name, such as Quote-1042-River-Street-v2.pdf, and tell the customer which version to review. Keep the earlier sent copy as a record of the original offer.

For a quote created in Docelf, you can create an invoice from it when it is time to bill. Check the invoice against the offer the customer accepted before sending it.
