Which Receipt Type Should You Use?
Use a donation receipt when a donor gives money, goods, or other support to an organization. Identify the donor, donation date, and what was received.
Use a gift card receipt when someone buys a gift card. If you need a record of redemption instead, label the payment clearly and show the amount used and any balance remaining.
Use a parking receipt for a parking payment. Use a personal receipt for a payment between individuals. Name the payer and payee so both people can understand the record later.
Use a rent receipt when a tenant pays rent. Add the property or unit and the rental period. Use a sponsorship receipt when a sponsor pays to support an event, project, organization, or activity.

What to Include on Any Receipt Type
The details change by receipt type, but every receipt should identify the people involved, the purpose of the payment, and the amount received.
- Your business, organization, landlord, or other payee name.
- The donor, tenant, sponsor, buyer, driver, payer, or other person who made the payment.
- A unique receipt number and the payment date.
- The donation, gift card, parking, personal payment, rent, sponsorship, or other payment purpose.
- A service period, property, unit, event, project, gift-card reference, or other identifying detail when useful.
- Quantities, prices, discounts, and taxes when they apply.
- The amount paid, payment method, and any remaining balance.
- A note, acknowledgment, or short thank-you message.
Some receipt types need a property, service period, event, or other reference. Add only the details that help explain the payment.
