Connect the Owner’s Payment to the Pet’s Visit
Put the pet owner in the customer details and identify the pet in the descriptions or Notes. A name, species, and visit reference can distinguish this visit from another pet’s care without turning the receipt into a clinical record.
When the visit already has a Docelf invoice, record the payment and create the receipt from that invoice. The customer and item details carry over. For a standalone receipt, use the confirmed charges and payment record from the visit.
How to Create a Vet Receipt
Have the visit details and payment amount ready. The numbered fields below show where the receipt information belongs.
- Your Clinic: Enter the clinic name and contact details.
- Your Logo: Add the clinic logo so the owner recognizes the receipt.
- The Owner: Choose the saved customer or enter the payer’s details.
- Number and Date: Check the number. Date the receipt when payment was received.
- Care and Items: List each service or supply with its visit date and price.
- The Payment: Add applicable tax, discounts, and payment. Docelf calculates the total and balance.

Separate Veterinary Services From Supplies
Name the services in words the owner will recognize, and give separately sold supplies their own rows. That makes the receipt easier to compare with the visit invoice.
This fictional USD example includes an exam, a nail trim, and a recovery collar. For illustration, only the $18.00 collar is taxed at 8%; the two services are untaxed. Use the tax treatment that applies to your clinic’s charges.

What to Include in Vet Receipt Notes
A short pet and visit reference helps the owner find the right record later. Notes can also state the payment method and whether this visit is fully paid.
Care instructions and test results belong with the visit records. These sample Notes explain the payment, not the treatment.

Send a Receipt That Matches the Visit
Keep the pet’s visit and the payment together. Docelf calculates the receipt totals, and you choose whether to email it, print it, or download a PDF.
Record Deposits Without Repeating the Visit Charges
A payment before a procedure can be recorded as a deposit toward that visit. Name what the deposit covers without describing a future procedure as completed. Use the date the clinic received the deposit as the receipt date.
For a $250.00 visit with a $100.00 deposit already received, $150.00 remains. When the owner pays that $150.00, the new receipt confirms the final payment and shows a $0.00 balance. Keep the earlier deposit separate from the payment on this receipt.
Keep Several Pets Easy to Tell Apart
When one owner pays for several pets together, identify the pet on each relevant service line. Separate rows are especially useful when the services or prices differ.
A receipt shows the payment; it does not replace the pet’s treatment history or an insurer’s requested claim form. The owner can check what their insurer needs before requesting extra documents. Include only accurate details from the clinic’s records.
Keep a Useful Copy With the Visit Record
After reviewing the owner’s contact details, email the receipt, print it, or save a PDF. Docelf shows delivery and opening information for emailed receipts. Keep the receipt reference with the visit record so your team can find a copy later.
You can attach a PDF or supported image when it helps explain a charge. Check the contents and recipient before sharing. Adding your clinic logo, colors, readable font, and footer contact makes the receipt familiar.
Reuse the owner’s saved details and your usual services for the next visit. Duplicating a receipt creates a new draft with a new number. Update the pet’s details, visit date, payment date, charges, and amount received before sending.

Use the pet owner or other payer as the customer. Put the pet’s name and species in a description or Notes, along with a visit reference when useful. This keeps the payer and patient easy to distinguish.

Can one vet receipt include two pets?
Yes, when the same payment covers both. Identify the pet beside each service or item so the owner can see which charges belong to each animal. The amount paid should match the money received for that transaction.

Does the receipt date have to match the veterinary visit date?
No. The receipt date is the date payment was received. Label the visit date separately in the service description or Notes when it differs, even if you prepare the receipt later.

How should I list supplies sold during the visit?
Give a separately charged supply its own description, quantity, and price. Do not add it again when it is already included in a service package. Apply the tax treatment appropriate to the actual item and transaction.

Does a veterinary receipt guarantee pet insurance reimbursement?
No. It confirms payment for the listed care and items. The owner should check the insurer’s requirements and request any additional records through the clinic’s usual process.

How do I show a part-paid veterinary bill?
Keep the full visit charges, previous payments, new payment, and remaining balance distinct. Create the receipt for the new amount received. A later payment gets its own receipt rather than repeating the full visit as another payment.
