How to Fill In Landscaping Estimate Line Items
A customer should be able to match each line to part of the landscape plan. Give measured work a unit, and say when a price includes both materials and installation so those costs are not counted twice.
This fictional planting project uses US dollars. Shrubs and mulch include installation, and an illustrative 8% tax applies to all four lines. Use the tax treatment that applies to your location and work.

Example: Terms and Conditions
- Estimate covers the listed preparation, 18 five-gallon shrubs, 650 square feet of installed mulch, irrigation adjustment and cleanup shown on the agreed plan.
- Pricing assumes clear equipment access and normal digging conditions. Removal of buried concrete or rock is excluded.
- Plant substitutions or changes to the plan will be priced and agreed before ordering or carrying out the changed work.
- Start timing will be agreed after the customer approves the scope and materials are available. Estimate valid for 30 days from the issue date.

Separate the Landscaping Work Into Clear Phases
Price the project in the same order the crew will complete it. Site preparation, planting, irrigation, hardscape and cleanup are easier to review when each phase has its own clear line items.
For separately priced labor, state whether the quantity means one worker’s hours or a crew-hour at your stated rate. Include equipment and subcontracted work where they affect the price. A separate delivery charge belongs in the item table.
Keep Design Choices and Allowances Easy to Update
Name the plant, stone or finish when it is selected. If a choice is still open, label the amount set aside for it and explain what that amount covers. For a project with undecided plants, you might write: “Plant supply allowance: 10 five-gallon shrubs at $45 each ($450); installation priced separately.”
Keep optional upgrades outside the base estimate until the customer chooses them. When a selection, measurement or site condition changes, revise the affected lines and agree on the change before carrying out the extra work.
