Start with the vehicle and repair order. Separate parts, labor, shop supplies, and other charges when the breakdown helps the customer check the work.

Build the Invoice From the Repair Order or Deal Sheet

For repair work, copy the customer, vehicle, and service details first. Then list the work in the same order the customer is likely to review it: diagnosis, labor, parts, shop charges, discounts, tax, and total.

Keep parts and labor on separate lines when that makes the bill easier to check. Use plain descriptions such as “front brake pads” or “two hours of diagnostic labor” instead of internal codes the customer may not recognize.

For a vehicle sale, check the VIN, mileage, sale price, credits, added products, taxes, fees, and payment terms before you send the invoice. One wrong digit can create far more work than the invoice itself.
