How to Create an Online Invoice
Add the details in your browser. Use the numbered fields to check each part of the invoice.
- Check Your Business Details: Use your business name and contact information for the customer’s bill.
- Add Your Business Style: Add a logo and choose the colors and fonts for the invoice.
- Choose the Customer: Select a saved customer or enter a new customer’s billing details.
- Set the Dates: Check the invoice number and choose the invoice date and due date.
- Add Products or Services: Use saved items or enter the work, quantities and agreed prices.
- Review the Calculation: Add applicable tax and discounts, then check the total Docelf calculates.
- Explain How to Pay: Use Terms and Conditions for payment instructions. Review the invoice before you choose to send it.
Enter Online Invoice Charges Without a Spreadsheet
Add each service with its quantity and rate. Docelf calculates the line amount. For repeat work, include the service date or billing period.
The example below bills for website maintenance. It uses prices in US dollars and assumes all three services are taxable at 7.5%.
| QTY | Description | Unit Price | Amount |
|---|---|---|---|
| 2 | Website content updates — hours | $60.00 | $120.00 |
| 1 | Website backup check | $35.00 | $35.00 |
| 1 | Broken-link review | $45.00 | $45.00 |
| Subtotal | $200.00 | |
| Sales Tax (7.5% example) | $15.00 | |
| Total | $215.00 |
What to Include in Online Invoice Terms
Use Terms and Conditions to tell the customer which payment method to use. For repeat work, identify the service period so the customer knows which bill they are paying.
This example uses a 14-day payment period for website maintenance. Use the deadline you agreed with the customer and replace the bracketed details. Emailing an invoice does not itself collect the payment.
Example: Terms and Conditions
- This invoice covers website maintenance for [Service Period].
- Payment is due within 14 days of the invoice date.
- Pay by [Accepted Payment Method] using [Payment Details].
- Use the invoice number as your payment reference.
- Contact [Billing Email] with questions.
Keep the Invoice in One Place
Create the invoice in Docelf and review the total there. Email it directly when it is ready. The invoice stays with your other business documents.
Choose What to Send to the Customer
Check the customer’s billing email and the finished invoice before sharing it. Creating or saving the invoice does not email it; you choose when to send.
- Email from Docelf when you need delivery and opening information in the document history.
- Download a PDF when the customer needs a file or you want a separate copy.
- Print the invoice when a paper bill suits the transaction.
Reuse the Last Invoice, Then Check What Changed
Docelf saves customer information and lets you reuse products and services. For another billing period, duplicate a previous invoice to create a new draft with a new number.
Update the service period, quantities and due date before sending. You choose when to send the new invoice. See how to duplicate a document.
Turn an Accepted Quote or Estimate Into an Invoice
Already agreed on the price? You can create an invoice from a quote or estimate. Check the copied customer and item details before requesting payment.
Add Details That Help the Customer Recognize the Bill
Use the footer for your billing contact. Attach a supporting file when the customer needs more detail.
You can add an industry name before “Invoice.” Choose the currency for the bill from USD, EUR, GBP, CAD and AUD.
See What Happened After You Emailed the Invoice
Delivery, opening and payment are different steps. An opened invoice is not proof of payment.
- Check whether the invoice was delivered and opened.
- Record each payment’s amount and date. Check the remaining balance.
- Create a receipt from the invoice after recording payment.
More Layouts for Your Online Invoice
Each preview opens the same invoice editor. Add your own customer and charges, then adjust the logo, colors and font.
Prefer an Invoice File to the Online Editor?
These format pages offer separate Word, Google Docs, Excel and Google Sheets templates. They are alternatives to creating the invoice in Docelf, not additional Docelf export formats.
Online Invoice Template FAQs
-
What is an online invoice template?
An online invoice template lets you create the bill in your browser rather than setting up a separate file. In Docelf, add the billing details and check the calculated total.
You can email the finished invoice, print it or download a PDF.
-
Can I see whether the customer opened the invoice?
Yes. For an invoice emailed from Docelf, the document history shows delivery and viewing information. Keep that separate from payment status: opening an invoice does not mean it has been paid.
-
Does sending an online invoice automatically collect payment?
No. Sending the invoice requests payment. Give the customer the payment instructions you use. When money arrives, record the amount and payment date in Docelf to keep the remaining balance current.
-
Can I create next month’s invoice from this one?
Yes. Duplicate the invoice to create a new draft with a new number. Update the billing period, charges and due date. Review the new invoice and choose when to send it. Duplicating it does not send it.
-
Can I export a Docelf invoice to Word or Excel?
The supported document download is PDF. The Word, Excel, Google Docs and Google Sheets links on this page lead to separate templates for those formats. They are not export options for a Docelf invoice.
-
Can I attach a supporting record to an online invoice?
Yes. Attach a work summary or another record that helps the customer check the charge. Docelf supports PDF, JPG, GIF, PNG and WebP files up to 5 MB each. The recipient can download the attachment with the invoice.
