What Is a DJ Quote?

A DJ quote is a written offer for a booking. It shows what the DJ package covers and what the booking will cost.

Use a quote when the event details and DJ package are clear enough to price. State how overtime or extra equipment will be handled so the customer knows what can change the total.

DJ Quote, Estimate, or Invoice?

Choose the document based on how certain the booking price is and whether payment is due.

Quote

The date, hours, and DJ package are clear? Use a quote to give the customer a specific booking offer they can review and accept.

Estimate

The event length or equipment needs may still change? Use an estimate when the price is your best prediction before the booking is final.

Invoice

A deposit or payment is due? Send an invoice. Docelf can create it from the accepted quote so the customer and booking details are already there.

Show the DJ Package Before the Extras

Put the main booking first so the customer can see what is included. Add upgrades only when they are part of this event.

How to Create a DJ Quote

Build the quote around the event time and the DJ package you discussed. Then add any upgrades and the booking terms the customer should review.

How to create a DJ quote with Docelf
  1. Add Your DJ Business: Enter your business or stage name and the contact details the customer should use.
  2. Add Your Logo: Add your logo. Use your usual colors and font if you want the quote to match your DJ business.
  3. Add the Customer and Event: Enter the customer details and event date. Add the venue and performance times.
  4. Add the Quote Number and Dates: Add a quote number and issue date. Include a valid-until date if you can only hold the event date for a set time.
  5. Add the DJ Package and Price: Name the DJ package and state the performance hours it covers. Add the base price and any selected package upgrades. Docelf calculates the total.
  6. Add Equipment, Travel, and Booking Terms: Price extra equipment or travel separately when they cost more. State the deposit and explain overtime if the event may run longer.
  7. Review the Quote and Send: Check the venue and performance hours. Make sure the package and total are right. Then email the quote or download a PDF.

Before you send: Check the performance hours and venue. Make sure equipment upgrades and overtime terms are clear.

What to Include in a DJ Quote

Make the base DJ package easy to see before you add paid upgrades.

Show What Changes the DJ Price

Start with the base booking. Add only the upgrades that apply to this event.

Base Performance Time

State the number of DJ hours included in the package. If setup time is not billable, keep it out of the performance-hour count.

Ceremony or MC Add-On

Price ceremony audio separately when it needs another setup. Do the same for extra MC coverage.

Equipment Upgrades

Add upgraded sound or lighting only when the customer chooses it. Name the upgrade so the extra price is easy to understand.

Overtime and Travel

State how overtime is priced and when the rate starts. Add travel separately when distance or lodging changes the cost.

The DJ Booking Changed?

A longer event, a new venue, or an equipment upgrade can change the price. Update the quote so the customer sees the revised package before you commit to the added time or gear.

Once the final quote is accepted, turn it into an invoice in Docelf. The customer and line items carry over, so you do not have to rebuild the booking.
