How to Fill In Wedding Planner Quote Line Items
A package can use one line with a quantity of 1. Describe the support included, then give separately priced services their own rows. Add only the extras the couple has chosen to the quoted total; describe other available options without charging for them.
This fictional US-dollar quote covers coordination for one wedding at one venue. The couple has chosen rehearsal support and an additional assistant alongside the main package. All three services use an illustrative 8% tax rate; use the tax treatment that applies to your business.

What to Include in Wedding Planner Quote Terms
Use Terms and Conditions to connect the price to the wedding date, venue, and hours of support. Explain when your involvement starts, what reserves the date, and how you agree on extra work. Include only booking policies your business actually uses.
A quote's expiry date tells the couple how long the offer is available. It does not, by itself, explain whether you are holding their wedding date. Keep that booking condition clear, along with any deposit and payment timing. Adapt this sample to your own agreement and local requirements.
Example: Terms and Conditions
- Quote for the wedding of Alex and Jamie at Willow Hall on May 15, 2027. Offer valid until October 15, 2026.
- Coordination begins four weeks before the wedding. The package includes two planning meetings, vendor confirmations, a timeline, and one lead coordinator from noon to 8 p.m. on the wedding day.
- Also included: two hours of rehearsal coordination and one additional assistant from 2 p.m. to 6 p.m. on the wedding day.
- The wedding date is reserved when our planning agreement is signed. Payment is due 14 days before the wedding. Vendor invoices are paid directly by the couple.
- Extra hours, venues, or services need a revised price agreed before we add the work.
Make the Planning Package Easy to Compare
Couples may need help with the whole wedding or just the final preparations. Name the level of service first, then describe where your responsibility begins and ends. A package label on its own can mean different things to different planners.
- Full-service planning: Describe the decisions and arrangements you manage from early planning through the wedding day.
- Partial planning: Show the planning work you take over and what remains with the couple.
- Wedding coordination: Explain when you take over and what event-day support is included.
- Optional help: Price added meetings, travel, or rehearsal support separately when they are outside the package. Include them in the total only after the couple chooses them.

State the location and travel assumptions behind your price in Terms and Conditions. For example, explain if the offer covers one local venue. Review the scope and fee when the couple confirms a venue that changes your travel, staffing, or hours.

How do I price wedding planning services?
For a fixed package, use a quantity of 1 and explain what the fee covers. For hourly work, show the number of hours and rate. Keep included support within the package price so it is not charged twice; give chosen extras their own lines.

Should vendor costs be included in the wedding planner quote?
