What Is an Event Quote?

An event quote is a written offer for a defined event package or service. It tells the customer what you will provide and what it will cost.

Use the general event quote when you provide several event services or a complete package. If planning and coordination are the main service, the event planning quote may be a better fit.

Event Quote, Estimate, or Invoice?

Choose the document based on how certain the event details and price are, and whether payment is due.

Quote

The event package and price are clear? Use a quote to give the customer a specific offer they can review and accept.

Estimate

Use an estimate when the event details may still change and the final price is not yet fixed.

Invoice

A deposit or payment is due? Send an invoice. Docelf can create it from the accepted quote so the customer and event line items are already there.

Put the Event Package and Optional Work in One Place

Start with what the customer is buying. Keep add-ons separate so the base event price stays easy to understand.

How to Create an Event Quote

Build the quote around the event package the customer is considering. Then add optional services, the price, and the booking terms they should review.

How to create an event quote with Docelf
  1. Add Your Event Business: Enter your business name and the contact details the customer should use.
  2. Add Your Logo: Add your logo. Use your usual colors and font if you want the quote to match your event business.
  3. Add the Customer and Event: Enter the customer details and event date. Add the venue and event name or type when they help identify the booking.
  4. Add the Quote Number and Dates: Add a quote number and issue date. Include a valid-until date if you can only hold the price or date for a set time.
  5. List the Event Services and Prices: Add the main event package or services on clear line items. Keep optional work separate so the customer can see what changes the total. Docelf handles the math.
  6. Add Paid Extras and Booking Terms: Show any paid rental or staffing charge separately when it is not included. Do the same for delivery if it costs extra. State the deposit and important payment terms.
  7. Review the Quote and Send: Check the event services and total. Then email the quote, print it, or download a PDF.

Before you send: Check the event date and quoted work. Make sure the total is right and optional work is separate.

What to Include in an Event Quote

Show the base event package first, then make optional work easy to spot.

Make a Bigger Event Quote Easy to Review

Start with the base event package. Give optional work its own place so the customer can compare the choices.

Base Package

Put the core event service first. Use a fixed package price when the included work is already defined.

Optional Services

List optional work on separate lines. The customer can see what the event costs with or without each add-on.

Rentals and Equipment

Show rentals or equipment separately when they are not included. Add quantities when the price depends on how many are needed.

Staffing and Setup

Price extra staff separately when the package does not include them. Show setup or breakdown as separate work when needed.

Event Services or Timing Changed?

Added a service, changed the schedule, or moved the venue? Revise the event quote before you commit staff or equipment. Show the updated package and price.

Once the customer accepts the revised quote, create the invoice from it in Docelf. The approved event line items carry over.

Choose a More Specific Event Quote When It Fits

Use the general event quote for a package or mixed event services. Choose a more specific template when one service is the main thing you are selling.

Other Quote Template File Formats

Choose a format that makes package options easy to adjust before the customer decides.
