What Is an Invoice Quote?
An invoice quote is a quote arranged in an invoice-style layout. It gives the customer a detailed preview of the products or services and proposed price before you request payment.
Use Quote as the document title and give it a quote number. The customer can then recognize it as an offer to review. When you reach the agreed billing point, use an invoice template to request payment.
How to Use an Invoice Quote Template
Start with the details you will need for both the offer and the later invoice. Clear item descriptions now make it easier for the customer to match the invoice to the quote they accepted.
- Business Details: Enter your business name and contact details.
- Matching Branding: Use the logo, colors, and fonts that appear on your invoices.
- Customer and Billing: Add the customer's name, contact details, and billing address.
- Quote Number and Dates: Check the quote number and issue date. Add a valid-until date for the offer.
- Proposed Charges: List each product or service with its quantity, unit price, and line amount.
- Check the Total: Add applicable tax or discounts. Docelf calculates the total.

Show the Charges You Expect to Invoice
Use descriptions the customer will still recognize on the invoice. Name the product or service, give its quantity, and show how the price is calculated. Put a separately charged delivery service in the item table so it is included in the subtotal.
This fictional office-storage order is priced in US dollars. Three shelving units, two cabinets, and local delivery are offered together. An illustrative 8% tax applies to all three lines.

The $907.20 is the offered price. If the customer accepts and the order stays the same, those charges can carry through to the invoice. Use the tax treatment that applies to your sale; the sample rate is only an illustration.
Explain When the Offer Expires and Billing Begins
The quote's valid-until date tells the customer how long the offer is open. An invoice due date tells them when payment is due. Keeping those dates distinct helps the customer plan without mistaking the quote for a bill.
Use the Terms and Conditions field to explain delivery or service timing and the payment terms you actually offer. Here is wording to adapt for the office-storage order above.
Example: Terms and Conditions
- This offer is valid for 14 days from the quote date.
- Local delivery and placement are included as listed. Delivery is within 10 business days after acceptance.
- We will invoice on delivery. Payment is due 14 days from the invoice date.
- Additional units or a different delivery location will be priced for your approval before they are added.

Invoice Quote, Invoice, or Estimate?
The layout may look similar, but the document purpose changes what the customer is being asked to do.
Invoice Quote
Use an invoice-style quote when the items and price are clear and the customer is deciding whether to proceed.
Invoice
Send an invoice when payment is due. It requests payment rather than approval of a proposed price.
Estimate
Use an estimate to show an expected price when quantities, work, or costs still need to be confirmed.
Use a proposal when the customer needs your approach and a fuller project explanation. Start with an estimate template when the final cost may still change.
After Acceptance, Check the Invoice Before Sending
Customers can accept or decline a Docelf quote online without a Docelf account. You receive an email notification when they respond. If they request different quantities or services, update the offer and ask them to review the revised price.
When the agreed billing point arrives, create an invoice from the quote. Docelf copies the relevant customer, item, price, and document details, so you do not have to enter them again.
